Materials Management Assistant

Job overview

The role of a Materials Management Assistant is to ensure that an effective and efficient procurement service in regard to the ordering and replenishment of agreed consumable stock throughout the organisation(s) is provided to all end-users, making sure that all goods are ordered and received in a timely manner.

Main duties of the job

·         To provide internal supply chain services (materials management) using   electronic  receipts system and bar code data capture system;

·                  Unpack and check items against delivery records and take corrective action where necessary (whilst maintaining audit records);

·                  Provide a materials management service to purchase regular stock and  non stock items to meet ward/department requirements

·                  Ensuring stock rotation and replenishing products in accordance with agreed procedures;

·                  Ensuring stock levels are maintained and goods are put away in a timely manner on receipt;

·                  To ensure all designated stock is managed and replenished to the agreed level using a hand held bar code scanner, raising stock and non stock requisitions;

·                  Unpack, check and book in deliveries;

·                  Liaise with internal staff and external suppliers on stock management;

·                  Investigate and solve delivery and payment issues;

·                  Produce stock reports/data analysis to advise ward/department managers and finance staff on purchasing patterns/costs;

·                  Process purchase orders and recommend sources of supply/savings to customers.

·                  Respond to FSN (Field Safety Notices) received via logistic leads.

·                  Deputise for the Logistics Supervisor when required.

Essential criteria
  • A good standard of general education incl. GCSE Maths and English or equivalent
Desirable criteria
  • Experience working in a busy NHS environment.

Knowledge & Experience

Essential criteria
  • Experience of successfully engaging stakeholders.
  • Experience in stock management.
  • Understanding of local, regional and national procurement agendas and how this links into operational procurement activity
  • Demonstrable IT including Microsoft Office applications used to create reports and to assist in data analysis.
Desirable criteria
  • Experience of successful collaborative working.
  • Understanding of the Green agenda and how procurement can support this.
