This job involves the day to day running of a medical records team, booking patients for outpatient and inpatient clinics. Health records library functions , along with all general administration duties.

The role requires an organised, motivated individual who works well within a team and as an individual.

Main duties of the job

The post holder will be involved in the running of reception duties, registering and documentation of new patients,  booking appointments, requesting case notes from the health records library, prepping clinics. Engaging with all members of staff and dealing with enquiries from patients, dental and medical practitioners and members of the public by telephone and in person.

Detailed job description and main responsibilities

Details as per JDPS, this post will be an exciting and challenging role for any individual with an interest in making a difference to our patients
The role is an excellent opportunity for the post holder to make a positive impact on the patient journey.

- Registration and documentation of new patients.
- Reception duties.
- Requesting/locating case notes from the filing system as required.
- Maintenance of appointment system.
- Maintenance of daily clinical work sheets.
- Maintenance of waiting lists.
-  Provision of statistical information for Managers as required.
- Care and repair of case note folders.
- Maintenance of accurate tracker system of case histories. 

Person specification

Qualifications

Essential criteria
  • 5 GCSE’s A*-C /NVQ 2 or equivalent

Experience

Desirable criteria
  • Experience in a clerical post

Skills

Essential criteria
  • Good communication skills Ability to communicate effectively with staff at all levels and with patients
  • IT skills / relevant keyboard experience
  • Ability to organise and prioritise own workload
  • Ability to work as part of a team and liaise with colleagues to ensure effective working.

  • Willingness to accept that flexibility is required to meet the changing needs of the NHS
