Job overview
If you are a proficient and experienced administrator with excellent organisational skills, wishing to work part time in an interesting varied role, this may be the job for you! You would be working with other dedicated administration support for the Senior Management Team within the CAMHS & Specialised Services Directorate. On occasion you may be required to assist with administrative duties as delegated by your Manager.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main duties of the job
To act as communication link for the Senior Management Team. This will involve the post holder being able to communicate with various services and agencies, internal and external and with personnel at all levels.
To be responsible for typing (audio/copy) of documents including numerical data.
To use information technology available to provide a comprehensive and efficient service. The post holder will need to use Word Processing, Excel, Power Point and on rare occasions the Myrddin PAS system to assist the Senior Management Team in the preparation, typing and presentation of audit, research, lectures and teaching materials.
To make appointments and organise meetings as required, ensuring that team members receive relevant papers/ information prior to meetings. To attend meetings and take minutes.
To manage the team diary, using judgement and experience to decide about the appropriateness of urgency of appointment, liaising with internal and external agencies as required.
To deal with sensitive and emotive issues which will require the use of diplomatic, discrete, sensitive, mature and professional skills at all times.
To review and enforce practices and procedures to ensure that the principles of Data Protection, Caldicott Standards and confidentiality are followed at all times.

Qualifications
Essential criteria
- Knowledge of secretarial and administrative procedures and systems, the majority of which are non-routine, acquired through training and experience to Vocational Level 3 or equivalent; plus knowledge of specialist functional/medical/ legal terms, organisational policies and procedures.
Desirable criteria
- RSA/OCR III word processing/typing or skills, including audio typing skills.
