Job overview
The postholder will play a key role in ensuring the smooth and efficient operation of the clinical team in supporting the Prison In-Reach and Forensic Team.
The role involves delivering a wide range of secretarial and administrative services to support day-to-day operational needs, contributing to a cohesive, whole-team approach aimed at enhancing patient care and service delivery.
Main duties of the job
The post holder will provide dedicated secretarial support to the Consultant Forensic Psychiatrist and other medical doctors within the team, as well as general administrative support to other team members, including two Community Psychiatric Nurses (CPNs) and two Custody Practitioners.
This unique and fast-paced role will cover the following service areas:
HMP Parc In-reach, Community Forensic, and Forensic referral and opinion.

Detailed job description and main responsibilities
- Use in-depth knowledge of a range of secretarial procedures to support the Consultant Psychiatrist and clinical team
- Maintain the Consultant's diary
- Communicate with all disciplines within the team and across the Directorate, as well as clients, carers, GPs, pharmacies and other agencies involved in client care
- Undertake and assist in regular data accuracy checks and data cleansing
- Undertake routine audio and copy typing duties
- Ensure client booking systems are well managed and maintained
Person specification
Qualifications
Essential criteria
- 3 GCSEs or equivalent
- NVQIII Business Administration or willingness to work towards
- RSAII Typing or equivalent relevant experience
- ECDL or equivalent
- Ability to transfer IT skills to new applications
Desirable criteria
- Knowledge of medical terminology
- Knowledge of Myrddin, WCCIS, FACE and NWIS IT systems
Experience

- Previous all-round office experience
- Experience of using databases
- Experience of establishing new systems of work
- Good interpersonal skills
- Ability to work in a challenging environment
- Good communication and listening skills

- Previously worked in the NHS or similar environment

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
Welsh language skills are desirable
