Job overview

The post holder will provide typing and clerical support for the department teams.

The post holder will be required to work as part of a team managed by the Operational Support Manager.

The post holder will be responsible for their own workload under the supervision of the Operational Support Manager.

To support the medical secretary/secretary in undertaking clerical duties and routine typing as and when required.

To maintain WPAS, updating on a daily basis.

The post holder will type all correspondence and clinic letters from multi-disciplinary teams. Ensure all appointments, letters and correspondence are sent out in a timely manner.

The post holder will be responsible for checking all patients’ demographics if the patient has been seen previously. If not, patient details are entered on to WPAS and patient file processed.

The post holder will ensure that their work is accurate and is up to date, bringing to the attention of the Operational Support Manager any problems that may arise.

The post holder will be responsible for processing letters, and carrying out typing duties as directed by the Operational Support Manager.

 It is essential that the post holder adhere to the requirements of patient confidentiality and Caldicott Standards during every aspect of their role.

Main duties of the job

The post holder must have excellent communication, verbal, non-verbal and organisational skills to ensure that they can respond to unexpected situations.

The post holder should ideally have previous relevant office experience, preferably in a hospital/clinical environment.

Organise own daily workload

Preparation of patient files in accordance with service guidelines.

Data input accurate information onto WPAS. All appointments are sent out on a daily basis.

The post holder will ensure all investigation results are filed in the appropriate medical file and are available for review by the team as and when required.

Provide non clinical advice directly to patients and carers during telephone conversations.

To maintain medical/clinical records in accordance with the Cwm Taf Morgannwg University.

To adhere to guidelines, policies and procedures of the Cwm Taf University Health Board.

To be responsible for ensuring correct patient demographics for data entry on to WPAS and personally generated information.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health.

Essential criteria
  • 3 GCSEs or equivalent
  • RSA II Typing or equivalent experience
Desirable criteria
  • Medical Terminolgoy
  • NVQII in Business Admin and or Customer Care

Experience

  • Previous all round office experience
  • Experience of audio typing
  • Experience of using databases
Desirable criteria
  • Has previously worked in NHS environment
