Cwm Taf Morgannwg University Health Board is an organisation that recognises  the importance Alcohol care Team in better health outcomes for patients. This post is funded from the Area Planning Board because of a successful Business Case submission.

This is an exciting opportunity to join a new Community Alcohol Care Team. working closely with the in hospital Alcohol Care Team by by becoming a valuable member of this growing team in an Administration role.   If you have an interest in working with patients with alcohol disorders and their treatment we are looking to hear from you.

The Administrative Assistant will provide an effective administrative service to aid the efficient running of the Alcohol Liaison teams. 

The Administrative Assistant will be expected to portray a positive image and be able to liaise in a professional manner with patients and colleagues.

The post holder will be expected to plan and prioritise own workload ensuring systems are in place to meet deadline requirements for Cwm Taf Morgannwg University Health Board.

The post holder will be required to work independently, with own work being managed rather than supervised.

 

Main duties of the job

  • Undertake reception desk duties, acting as first point of contact for the Community Alcohol Care Team. Duties will include booking patients in, answering telephone, dealing with relatives and visitors, filing, conveying messages to patients and staff.
  • Plan and prioritise their own workload, and be required to use own initiative with general routine work.
  • Seek support from the Team leader when required
  • Retrieve and prepare patient case notes using manual and computerised systems as appropriate eg. Welsh Patient Administration Service (Myrddin) and Case Note Tracking.
  • Be expected to deal sympathetically and compassionately with patients, parents and relatives who may phone or attend the Department in a distressed or anxious state.
  • Undertake filing as designated by the Department Manager, ensuring security of stored files/information.
  • Liaise with other Departments within the organisation, discussing sensitive information regarding clients.
  • Liaise with external organisations such as General Practitioners and other Hospital organisations in order to resolve patient queries or deal with appointment enquiries.
  • Maintain adequate stocks of office stationary for the Department.

This post is fixed term/secondment for 12 months due to funding. If you are applying for a secondment position, please ensure you obtain permission from your current line manager prior to applying for this post.
