Job overview

The Integrated Medicine Directorate are looking to appoint an enthusiastic and suitably qualified Support Medical Secretary who will support the Care of the Elderly Team.  This contract will be permanent, working 15 hours per week.

The main purpose of this post will be to provide secretarial office duties such as transcribing medical correspondence, audio typing, undertake mail and filing duties, retrieving patients medical notes, managing patient pathways via WPAS, as well as handling queries from patients, relatives, carers and external partners on a regular day to day basis.

The post holder will be required to demonstrate excellent typing, communication, organisational, clerical and IT skills. They will need to be able to work using their own initiative while also working well as a team member.

It would be an advantage if the post holder was familiar with the NHS information systems and in particular WPAS (Myrddin).  They will need to have a good understanding of the principles of Referral to Treatment. They will need to have a sound knowledge of a range of Microsoft office packages.

An understanding of customer care and meeting the needs of the general public is necessary for this position, therefore an excellent telephone and communication manner will need to be demonstrated.

English and/or Welsh speakers are equally welcome to apply

Main duties of the job

The post holder will provide a comprehensive and high quality secretarial and administrative support to the consultants, doctors and other professionals within the Care of the Elderly Department.

The post holder will also be expected to liaise in a professional manner with colleagues, visitors and patients and undertake a wide spectrum of administrative and secretarial duties.

The post holder will be expected to manage and prioritise their own workload using experience and initiative.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. For more information, see ‘Welsh Language Guidance’ in the documents right at the bottom.
