Job overview
A unique opportunity has arisen for an enthusiastic and motivated individual to join our friendly team of administration staff, dietetic assistant practitioners and qualified dietitians within the Public Health Dietetic Team at Cwm Taf Morgannwg University Health Board.
The post holder will support the delivery of public health dietetic services by providing clerical support to the team to ensure the smooth running of community based services and associated data reporting.
The successful candidate will form part of a dedicated local project team. They will be working alongside dietetic assistant practitioners, under the guidance of the Senior Project Coordinator and Highly Specialist Public Health Dietitian. This role will support the implementation and evaluation of a range of public health dietetic programmes.
The post holder will work relatively independently, to an agreed framework with a degree of autonomy and will be responsible and accountable for tasks delegated.
Ideally, you will have clerical experience within a healthcare environment, experienced in using Health Board systems and be a motivated team player as well as an excellent communicator.

Main duties of the job
To provide comprehensive secretarial, administrative and clerical support service to the public health dietetic team, in a timely and efficient manner.
To devise systems, protocols and procedures for managing information, in conjunction with the Project Lead Dietitian and support staff.
Good knowledge and understanding of Oracle ordering system to process orders.
Checking, receipting and monitoring goods as ordered for the project across all sites by liaising with Procurement and external suppliers.
Ensure the security of the office area and be responsible for all physical equipment and resources within the office areas as well as delegated tasks associated with department security.
To work within own competency and scope of practice, without supervision but with advice available from line manager as necessary.
Arrange meetings as requested, book venues, video conferencing facilities and arrange the attendance of relevant participants.
Assisting in preparing agendas for meetings and disseminating this information within an appropriate timescale.
Effectively use Microsoft Office packages, in particular Word, Excel, Outlook and PowerPoint, Teams using advanced keyboard skills to produce documents, reports etc.

Qualifications
Essential criteria
- Good standard of general education, including GCSE grade C or above in English and Mathematics, or equivalent.
- NVQ/OCR level 3 in relevant Secretarial and typing processes or equivalent level of knowledge, skills and experience
Desirable criteria
- NVQ level 4 Business Administration or equivalent experience.
- Qualification in leadership or equivalent experience.
Experience
Essential criteria
- Experience of working an administration and clerical team. Experience of working in an administrative capacity in a hospital setting.
- Experience of using a variety of IT systems such as MS office, Teams and UHB systems such as Oracle and ESR. Working within a confidential and busy environment.
Desirable criteria
- Experience of working within a dietetic team. Experience of stock control & procurement process in NHS.
Ability/Skills
Essential criteria
- Able to prioritise, multi-task and manage own workload. Able to work under pressure and in a timely, well organised manner.
- Excellent interpersonal, written and verbal communication skills. Attention to detail and problem solving skills.
Desirable criteria
- Welsh language speaking/listening skills at Level 3 or above
