Job overview
Salaried Dental Services has an exciting opportunity for a motivated and enthusiastic individual to join us as an Administration Assistant for our Community Dental Service which provides dental services to vulnerable patient groups who are unable to access high street dentistry.
You will be part of a fantastic and busy administration team, supporting the day-to-day administration of the service including processing referrals, managing email inboxes, booking appointments ensuring clinic utilisation is maximised and managing telephone calls. There are excellent professional development and progression opportunities within this role.
The post holder will be required to have excellent communication skills due to the nature of the patients that we see and have a positive and flexible approach to work as the service is currently undergoing a significant period of change.
The successful applicant should have a proactive and friendly attitude and be able to demonstrate sound administrative experience to meet the main duties of the role.
You will be required to work to a high standard of accuracy, have excellent organisational skills and be able to support the team to effectively deliver clinical services.
A high level of attention to detail supported by strong ICT skills is essential.

Main duties of the job
Provide a comprehensive administration support service within the Salaried Dental Service.
Be responsible for the day-to-day administration of the service including processing referrals, managing email inboxes, booking appointments ensuring clinic utilisation is maximised, and managing telephone calls from patients.
Form part of a wider administration team to support the delivery of Salaried Dental Services through providing effective administration support.
Liaise with clinical colleagues, patients and external stakeholders as required to ensure an efficient service is delivered.
Produce letters, spreadsheets etc. using Microsoft Office packages
Communicate with patients and internal and external stakeholders via letter, email and telephone; using the electronic patient record system to book appointments, and processing referrals received into the service.
Deal competently and discreetly with queries, using appropriate protocols in accordance with the GDPR/Data Protection Act in a prompt manner.
Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Essential criteria
- Knowledge of administrative procedures and processes acquired through on the job training.
- Knowledge of GDPR/Data Protection Act.
Desirable criteria
- Knowledge of NHS patient administration systems such as WPAS, Clinical Portal etc.
Experience
Essential criteria
- Previous experience of using software packages such as Microsoft Office i.e. Word, Excel, PowerPoint, Outlook.
- Experience of working within a team.
- Experience of Data Inputting and Retrieval.
Desirable criteria
- Previous NHS experience.
- Experience of working in a patient or public environment.
Skills
Essential criteria
- Effective communication skills both written and verbal.
