Job overview

The post holder will make a significant contribution to the success of the Business Support Team based in the Recovery Unit in Ysbyty George Thomas, and the wider Inpatient and Community teams. This will involve excellent organisational and communication skills and the ability to deal with distressed and irate patients/carers.

 

A key area of the post will be to have experience with  financial systems such as non-stock ordering, petty cash and dealing with  patients monies or the equivalent demonstrable knowledge. The postholder will also have experience in data entry and retrieval of data for reporting purposes. They will also be required to attend and minute meetings.

Main duties of the job

·         Be responsible for maintaining, updating and processing patients’ monies and accounts for individual patients, recording all receipts and debits and the banking of income in accordance with financial control procedures for the Mental Health Directorate.

·         Oversee the petty cash system.

·         Minute and transcribe meetings, distributing necessary papers as and when required.

·         Audio and copy type letters/reports generated by the team.

·         Assist with the typing of research projects as necessary.

·         Prepare reports and presentation material.

Detailed job description and main responsibilities

·         Deal with distressing circumstances which may appear when dealing with highly sensitive correspondence.

·         Deal efficiently and effectively with correspondence and queries, often of a highly confidential nature from other agencies and the general public.

·         Ensure all patient/client correspondence and investigations are filed appropriately and in a timely manner.

·         Collate, prepare, and format presentation of performance related data and support the Team Leader in all aspects of managing data and performance.

·         Organise own daily work processes.

·         Assist in undertaking department audits as and when required.

·         Stay up to date with current and likely future financial control procedures and data requirements for the service, liaising appropriately with the Admin Team Leader.

Welsh Skills Desirable: This post is advertised as Welsh Desirable. This doesn’t mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isn’t ‘fluency’, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Qualifications

Essential criteria
  • Good general education; 3 GCSEs or equivalent
  • NVQ III Business Administration or willingness to work towards
  • RSA II typing or equivalent relevant experience
  • ECDL or equivalent
  • Knowledge of CTMUHB Financial Control Procedures
  • Ability to transfer IT skills to new applications
Desirable criteria
  • Knowledge of medical terminology
  • Knowledge of Myrddin, FACE, WCCIS, WAP Lite

Experience
