Job overview
The post-holder will work within the Neurology Team, booking outpatient clinics and treatments. The role will range from handling GP and patient queries, enquiries about clinics, making appointments using the Myrddin Patient Administration System and using direct and partial booked appointments. The main duties will be answering telephone calls, making calls, taking general enquiries, booking appointments in-line with the Partial Booking Policy, monitoring waiting lists & cancellations and co-ordinating the utilisation of clinic slots.
Main duties of the job
- Clinics and day case list capacity is utilised and cancellations are kept to a minimum
- Patient focused booking and direct patient booking are utilised to increase clinic utilisation and reduce DNA rates
- Ensuring patients are assigned to the right clinic first time
- Ensure an efficient telephone service is maintained
- Regular communication with the Team Leader
- Ensure managers are aware if waiting times exceeding targets
- May undertake training of own duties to new or less experienced staff
- Ensure stock levels of stationery are maintained and ordered when necessary
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Essential criteria
- Good Standard of Education
- Knowledge of administrative procedures and systems, some of which are routine and non-routine activities such as answering queries, progress chasing, task related problem solving, acquired through experience and training to Vocational Level 3 or equivalent demonstrable experience
- Knowledge of Patient Administration System
Desirable criteria
- Customer Service Training
- Knowledge of Welsh Government guidelines
- Understanding of Health Board policies and procedures including HR
