Are you organised, proactive and thrive when working in a team? If so, this role is for you! We are looking for a hard working individual to join our team on Jervaulx Ward in the fundamental role of Ward Clerk.
The successful candidate will need excellent communication skills and be able to prioritise your own workload which can vary regularly throughout the day.
We are willing to receive applications from anyone who has administration skills, is happy and able to work primarily on a computer and can display our Trust values in their day to day work.
Main duties of the job
The role of the Ward Clerk is extremely varied. Some of the key tasks include:
- Being the first point of contact for relatives and staff both face to face and on the telephone.
- Maintaining patients case notes to an excellent standard.
- Supporting the clinical teams with admin duties to allow them to provide hands on patients care.
- Updating and maintaining electronic inpatient records.
- Booking follow up appointments for patients after discharge.
- Be able to provide an efficient and effective administration service to the entire ward.

Detailed job description and main responsibilities
• Perform reception desk duties, dealing with patient enquiries, directing patients to waiting areas/beds and ensuring effective communication at all times. • Answering the telephone and taking messages. • Report to the ward manager items for repair and liaises with the works department by following agreed procedures. • Arranging Day Case, Ward Attender and booked admissions work as agreed with the Ward Manager. • Monitor Ward activity. • Ordering ambulances and making out-patient appointments as and when required. • Liaise with other departments and disciplines • Ensure reports and referral letters are escalated to the appropriate people/department within timescales. • Prepare medical administration documents. • Prioritising work load and work on own initiative. • Ensures case notes are assembled following written guidelines and documentation contained therein is correct. High quality standards are to be maintained before release from wards • Ensure written and verbal communication for pre and post discharge is followed through to other health professionals, e.g. GP’S and Social Services. • Prepare for doctors ward rounds, maintaining an efficient and effective filing system is in place. • Provides appropriate cover for other ward clerks as required during sickness, absence and annual leave. • Assists with the training of new staff. • Assist with maintaining Health and Safety at work. • Maintain and update the patient ICS computer system and Bed management Module. • Complies with the requirements of the Caldicott Report, Data protection Act, Access to Health Records Act and subsequent legislation issued in relation to computer retained data, preserving the confidentiality of patient identifiable data at all times.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
