Job overview

The post holder will provide excellent customer service via telephone, email and in person with trust colleagues, external candidates and on occasion patients to advise on training requirements, book training and help to answer resuscitation related queries or to refer on to one of the Resuscitation Officers. 

The post holder will manage the day to day administration workload and facilities of the department including answering the telephone, responding to emails, arranging meetings and taking minutes, arranging room bookings for training courses, stock management and ordering, managing the diary of the Resuscitation Department and Resuscitation Lead, maintain and manage the booking of candidates onto resuscitation courses and prepare and distribute course materials to candidates in a timely manner.

The Post holder will be responsible for  data entry and record keeping of the training undertaken by HDFT staff using the Learning lab system to create courses, book staff when applicable, update registers and run reports to monitor resuscitation training compliance. The post holder will use Microsoft office to produce reports, documents and audit information for the Resuscitation Department and the wider trust. The post holder will undertake audit and necessary work to maintain and update the department’s health and safety requirements.

 

Main duties of the job

  • Utilises excellent friendly interpersonal skills to deal with enquiries from both internal and external agencies over the telephone, email and face to face, prioritising calls/emails to ensure all responses are timely and reflect the high quality resuscitation service we aim to provide
  • Ensures all enquiries are dealt with in a professional and efficient manner
  • Responds sensitively to situations where candidates may be upset or when anxious or distressed patients/relatives contact the department to discuss resuscitation or ReSPECT/ DNACP
  • Refers to the training needs analysis for resuscitation training to ensure that colleagues are booked on the appropriate resuscitation course
  • Use computerised course booking systems to input training data to record and regularly provide accurate information on course attendance/non-attendance.

Person specification

Experience

Essential criteria
  • GCSE Maths & English or equivalent
  • Excellent communication, interpersonal and organisational skills
  • Proficiency in Microsoft Office applications and other software, especially Word, Excel and Outlook
  • Minimum two years administrative / clerical experience/secretarial experience
Desirable criteria
  • Experience of NHS administration
  • Experience of working in a training department and/or a training provider.
  • Understanding of resuscitation training
  • Uses own initiative
