Job overview

We are looking to recruit an Assistant Medical Secretary to join the Clinical Haematology Secretarial Team based at York Hospital. The post is for 37.5 hours per week, working as a member of a team providing support to the Consultant Haematologists and their respective teams.

Excellent secretarial skills and audio-typing experience/qualifications are required, in addition to a good understanding of customer relations and general administrative  duties. You will be required to deal with enquiries from patients, Consultants and GPs via telephone and email.

Main duties of the job

You will be responsible for typing clinical and administrative letters, answering telephone enquiries and dealing with patient queries, as well as covering colleagues during periods of absence. In addition, there will be an element of booking clinic appointments for patients.

The successful candidates will be required to have good organisational skills, with the ability to prioritise the demands of a busy office and manage their time and workload effectively.  Whilst being an effective team member and supporting colleagues.

Qualifications

Essential criteria
  • GCSE English Language, Grade C or above (or equivalent)
  • Word processing skills – OCR II (or equivalent e.g. RSA II)
  • Typing skills OCR II (or equivalent e.g. RSA II)
Desirable criteria
  • Qualification or appropriate training in customer service
  • ECDL

Experience

Essential criteria
  • Minimum 6 months secretarial/administrative experience
  • Experience of using a variety of IT applications, including Microsoft Office
  • Experience of working in a customer focused environment
Desirable criteria
  • NHS experience

Skills

Essential criteria
  • Proficient audio typist with the ability to accurately transcribe complex audio tapes and type complicated medical information whilst subject to frequent interruption
  • Effective communication skills, verbal and written
  • Ability to cope with distressing and emotional situations with patients, relatives and staff
  • High level of interpersonal skills, including sensitivity, diplomacy and empathy
  • Excellent organisational skills
  • Ability to assimilate new practices and knowledge
  • Ability to be flexible and to adapt to new demands
