Job overview

We are looking to appoint a Medical Secretary to provide comprehensive secretarial and administration support in our Urgent Care Team. 

You should be able to work as part of a busy team and be able to work on their own initiative.  You will have excellent communication, interpersonal skills and be able to work to deadlines.  Have a flexible approach in an every changing environment, competent in using microsoft office packages including Word, Excel, PowerPoint, email and internet, along with advanced typing/word processing skills.  A knowledge of Mediviewer is essential. 

 

Main duties of the job

To deal with telephone enquiries from key contacts including GP’s, liaise with internal and external sources and services to resolve any queries, 

working within trust confidentiality policy. 

Manage own workload and work independently within service need.

Maintain diaries, assist in scheduling consultant workload, and liaise with other relevant parties.

Organise medical students, liaising with various departments to arrange teaching sessions and attendance.

Open post and distribute to Consultants.  Ensuring all investigations are reviewed and urgent tests are highlighted to a doctor for reivew. 

Ensure a general administrative service is provided for the Consultant and the team including photocopying, filing, scanning and distribution.

Minutes take and set up teams meetings.

Process information through established Trust systems and procedures.

Track and update Careflow as necessary.

Qualifications

Essential criteria
  • NVQ Level 3 in business administration or equivalent level of qualification or previous proven experience

Knowledge/Experience

Essential criteria
  • Knowledge & Experience Significant administrative/secretarial experience including initiating and maintaining office systems
  • Demonstrable experience in dealing with the public and dealing with sensitive and confidential information
  • Understanding of Confidentiality and Data Protection Act
  • Knowledge of IT systems and software programmes such as Outlook, Word, Excel, Power Point
  • Clear communicator with excellent writing, data entry and presentation skills
  • Capable of constructing and delivering clear information/instructions to staff
  • Ability to work under pressure in a busy working environment and able to multi-task
  • Record and transcribe minutes of meeting using Teams
  • Able to work without supervision, on own initiative, working and prioritising own workload to achieve deadlines
  • Ability to concentrate for prolonged periods adapting to interruptions
