Suspected Cancer Clinic Coordinator

An exciting opportunity has become available on a permanent, full time basis as a Clinic Coordinator for suspected cancer patients within the Cancer Services team. The successful candidate will work with a small administrative team of colleagues managing appointments for patients referred on a suspected cancer pathway. This will include receiving and processing referrals, booking appointments for patients, data input, and communicating with patients, their representatives, and other professionals.

As the role works within tight deadlines, the ideal candidate will be able to work on their own initiative and be highly organised. The role involves accurately using a number of electronic systems so a high standard of IT skills is essential. As the candidate will be working as part of a dedicated team, flexibility and a willingness to cover and help their colleagues is crucial.

The successful candidate will require excellent communication skills; they’ll need to be able to communicate sensitively and with empathy and confidentiality.

To work primarily independently and on own initiative with minimal supervision to carry out the duties of the post

Manage all suspected cancer GP referrals daily, ensuring GPs using the Direct Bookable System have booked the patient into the correct clinic, to rescheduled appointments if incorrectly booked by GPs with due regard to the CWT target dates.

To negotiate and book outpatient or diagnostic appointments with patients within the required target dates, ensuring the patient has the correct information for diagnostic appointments such as communicating avoidance of eating prior to an endoscopy appointment.

To communicate with clinic coordinators in other directorates to release 2ww slots as appropriate and to escalate issues with regard to capacity issues to managers as appropriate

Receive and take relevant action on telephone calls and other enquiries from key contacts, liaising with internal and external sources to resolve any problems, queries or complaints where appropriate.

To communicate effectively with empathy and confidentiality when speaking with patients who have been referred with knowledge that this is a suspected cancer pathway.

To communicate effectively with patients who are being booked directly into a procedure slot, ensuring that all relevant pre-operative information is discussed.

To re-schedule suspected cancer appointments, ensuring that the requirements of the patient and Cancer Waiting Times targets are met.

Assist in the review of office protocols and working practices where necessary.

To use the patient management system (CaMIS) regarding identification of outpatient, in patient and waiting list data, and to accurately record personal confidential data from patients or their representatives.

Provide support with training for new staff where required, demonstrating duties to new starters.

Ensure up to date personal awareness and knowledge of Trust wide issues and directives, applying knowledge in the workplace, including attending appropriate briefings and team meetings.

Contribute to the cancer databases for patients (Somerset), updating records and contributing to the collection of data for audit and research purposes.

Be familiar with national Cancer Waiting Times standards, with particular reference to FDS and Trusts stretch targets, and undertake training and e-learning as required

Ensuring attention to detail when booking appointments, checking patient referrals are booked into the correct slots and the correct information is sent regarding where and when to attend.

Act as a point of contact for incoming referrals, communicating with all relevant personnel in the process.

Any other duties commensurate with the grade and in line with the requirement of the post.
