Job overview

An exciting opportunity has arisen for a Team Administrator to work within the Community Mental Health Teams at Campbell House, Northampton.

he post-holder will maintain and provide administrative and secretarial support for the Community Mental Health Teams.

The Team Administrator will be required to work as part of a wider hub of  Team Administrators and will report directly to the Operational Manager in their Team. 

We are seeking individuals who are enthusiastic, compassionate, flexible and creative in their approach and use initiative and judgement to organise workload .Working  alongside clinical staff and the wider multi-disciplinary team to provide quality and effective administrative support.

They will have knowledge and understanding of Microsoft packages. They will demonstrate an enthusiasm for professional development and will be motivated to further their understanding and skills through various training opportunities. 



Main duties of the job

The main duties are to provide comprehensive administration support to the Management Team/Team members and when required to the Service Manager using IT systems effectively, including Internet/Intranet, Email, Windows, Excel, Minute taking and use of Systmone.

Duties include receiving and responding to incoming telephone calls, and to deal with queries where possible /or take accurate messages and direct to the appropriate recipient.

The Post Holder will also deal with all incoming correspondence including the generation of replies and using their own initiative.

To generate a range of documentation including letters and reports to a professional standard. This may include the composition of letters to GPs/Consultants and other professionals on behalf of the team the contents of which may include updates / discharge information / medication change requests / any other information relating to patient care.

As well as assisting with producing correspondence, reports and proposals all of which requires maintaining excellent communication links with colleagues within the Service to ensure reliable and efficient dissemination of information.

To provide support and cover for tasks when required and for other  Band 3 colleagues within the CMHT Team.

  • Educated to GCSE level in Maths and English or equivalent

Skills & Attributes & Experience

  • Good written & verbal communication skills
  • Computer literate and competent in the use of Microsoft packages including Outlook, Word and Excel
  • Positive and helpful attitude toward mental health service users, carers and other staff members
  • Knowledge of a range of secretarial and administration procedures, including diary management, arranging appointments, minuting meetings and creating and managing electronic filing systems and records
  • Ability to work independently and organise a varied workload, meeting competing demands and working to deadlines where required
Desirable criteria
  • Previous experience in a healthcare setting
  • Previous experience of using the Systmone electronic patient record system
