Job overview

The Operational Support team plays a critical role in maintaining the Trust’s fleet and equipment. We ensure that all vehicles are safe, reliable, and ready to meet the demands of frontline services. This role is vital in supporting the Trust’s commitment to delivering high-quality patient care.

We are looking for a highly organised and motivated individual to join our Operational Support team as a Vehicle Commissioning Coordinator. This role is essential in ensuring the smooth and efficient commissioning of new vehicles and equipment, as well as the safe and timely decommissioning of those no longer in service.

You will work closely with Operational Support, EOC Support, and Operational Managers to ensure that all vehicles are processed through the commissioning centre effectively and are fit for operational deployment.

Main duties of the job

  • Coordinate the end-to-end process of commissioning and decommissioning vehicles and associated equipment.
  • Liaise with key stakeholders to ensure vehicles meet operational requirements and are ready for service.
  • Maintain accurate records and documentation throughout the vehicle lifecycle.
  • Support Operational Managers in ensuring vehicle readiness and compliance with Trust standards.

Detailed job description and main responsibilities

Main responsibilities:

Vehicle Commissioning Co-ordinator will report directly to the Head of Operational Support. They will assist in preparing medical equipment and vehicles which are being commissioned to be supplied operationally. Responsible for liaising with Operational Managers to arrange the movement of vehicles due to be de-commissioned, and the delivery of commissioned vehicles ready for operational use. The Vehicle Commissioning Co-ordinator will work independently at times and be responsible for their own workload, following instruction from the Head of Operational Support. Any issues they encounter must be raised at the earliest opportunity to the Head of Operational Support. 

They will also be responsible for the decommissioning of old vehicles, including removal of all medical equipment including consumables, logging serial numbers where required and ensure all waste is removed following the Trusts Environmental policies. This will be completed in line with the Trusts policy for ambulance decommissioning and disposal. Items will be disposed of via Trust approved auction sites of scrap disposal through Trust approved methods. 

The decommissioning of vehicles and equipment will include: 

• Removal of all medical equipment from the vehicle owned by the Trust. 

• Removal of supporting equipment brackets and charges 

• Logging of serial numbers from equipment removed 

• Logging of all equipment to allow removal from the Fleet Management system.

• Remove all Trust paperwork and process as required through the correct processes 

• Remove fuel cards / fuel fobs from the vehicles, ensuring they get cancelled and removed from the Fleet Management system. 

• Process all bags removed from the vehicles. 

• Repatriate any useable medical equipment in accordance with the Trust policy to the relevant team.

• Dispose of medical consumables through correct process supported by the Trust 

• Dispose of medical consumables through correct process via medical clinical waste bin processes 

• Complete a vehicle condition report form for every vehicle and store on the Fleet management system. 

• Take a minimum of 4 photos for each vehicle decommissioned 

• Take a minimum of 2 photo of any other equipment being decommissioned 

• Arrange for decommissioned vehicles to be collected in line with the vehicle disposal policy 

• To regularly review standard commissioning templates, making recommendations for improvement and updating as required. 

• Managing the collection of old vehicles and the delivery of new vehicles

DRIVING LICENCE

Essential criteria
  • Full Valid Driving Licence
  • Minimum of GCSEs (A–C / 9–4) including English and Maths, or equivalent functional skills qualification demonstrating literacy and numeracy competence
  • Vocational qualifications at Level 3 or above in related fields such as Logistics, Fleet Management, Vehicle Maintenance, Healthcare Support, or Public Services (e.g., NVQ Level 3 or equivalent)or relevant experience
Desirable criteria
  • C1 Category achieved
  • Formal training in warehouse or stock control management systems
  • Training or certification in medical equipment handling or commissioning processes
