Job overview

This role is to provide executive administrative support to the Head of Operations, supporting the City Wide Services team and playing a key role in the smooth running of the services. The role is involved in staff management and training, helping plan and complete tasks in a timely and efficient manner.

The role acts as an important communication link to ensure high quality support and liaison with colleagues and partners internally and externally. The Operations Manager will provide high level of direct support to 
the employees, proactively dealing with a wide range of matters, sometimes confidential and/or urgent, while demonstrating a considerable degree of judgement and the ability to work both independently and collaboratively. 

Main duties of the job

• Using strong analytical and interpretation skills to review and assimilate data, producing relevant reports, data sets, overviews and highlight reports. 
• Maintaining effective, accurate clinical reports. 
• Ensuring that any follow-up action is identified, logged, and proactively taken forward, prompting them about action needed, and coordinating such action with colleagues, adding to 1:1 agendas where appropriate. 
• Supporting and implementing change.
• City Wide Services rota capacity planning.
• Hosting, attending, and supporting Team and Clinical meetings.
• Reporting and escalating issues to the Head of Operations.
• Supporting in the management of budgets for the City Wide Services, assisted by the Head of Operations.
• Dealing with Patient feedback, complaints, or problems.
• Working with the premises team to ensure that our premises are maintained and suitable for clinical use.
• Supporting to ensure services meet national standards.
• Ensure effective processes and procedures are in place to monitor and track performance indicators.
• Ensure the performance indicators relevant to specific work areas are reported both internally and externally and within allocated deadlines.
• Provide regular reports on activity levels, performance against quality standards, financial and performance management issues, highlighting variances and creating action plans to resolve.

Education and Qualification

Essential criteria
  • Good standard of general education (A level or equivalent)
Desirable criteria
  • Management Qualification level 3 or equivalent

Experience

Essential criteria
  • Previous office/admin experience
  • Previous management experience

Knowledge

Essential criteria
  • Excellent knowledge of MS Office
Desirable criteria
  • Experience in BI reporting

  • Ability to communicate effectively both verbally and in writing with a range of different audiences
  • Pro-active and positive approach to change and continuous improvement
  • Excellent communication and interpersonal skills
