Project Support Officer - Capital

Job overview

This role provides comprehensive administrative and project support to the Capital Projects Team within the Estates & Facilities Management Division. It supports the smooth running of capital projects by managing documentation, coordinating meetings, maintaining financial records, and assisting with project tracking.

Working within established procedures, the post holder ensures accurate data entry, timely communication, and effective organisation—contributing to the successful delivery of capital schemes.

The post holder is also responsible for ensuring that orders and contract documents are issued, and that invoices are processed for payment. Additionally, they will develop improved systems for capturing information on assets, reducing backlog, and reporting all Government-requested data—such as ERIC returns—relating to fixed assets, in a timely manner.

Main duties of the job

This includes but is not limited to:

Raise requisitions and receipt invoices.

Update finance trackers and assist with updating cashflow forecasts.

Support project governance: risk registers, minutes, and action logs.

Assist with organising and coordinating meetings, diaries, agendas, and follow-up communications.

Support the creation of project reports, presentations, and evaluation documents.

Assist Project Managers with programme updates, risk logs, and post-investment evaluations.

Respond to Datix allocations on behalf of the PMs.

Ensure accurate data entry into project systems.

Support in the management of the team intranet and social media pages with up-to-date content.

Monitor and coordinate the Capital/MNW shared mailbox.

Assist in completing audits and surveys relating to project and teamwork.

Collate tender documents for circulation

Essential criteria
  • NVQ Level 4 or equivalent experience

Experience

Essential criteria
  • Evidenced success in roles such as project support, financial management, and/or customer service delivery.
  • Experience of managing in an office environment.
  • Experience of operating Microsoft Office Suite.
  • Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.
  • Experience of full range of administrative procedures including minute taking, paper and electronic record keeping, electronic data records.
  • Experience of producing reports.
  • Experience of working with Oracle software
Desirable criteria
  • Estates and Facilities Management or Capital Team experience
  • SBS Oracle for finance, requisitioning, and invoicing.
  • Datix for reporting and responding to incidents.

Communication & Relationships

Essential criteria
  • Excellent management and communication skills and knowledge.
  • Experience of communicating with all levels of staff, managerial, clinical, operational – both internal and external to NUH.
  • Ability to work within a team and on own initiative.
  • Experience of managing, maintaining and developing systems and procedures to improve efficiencies and delivery.
