Job overview
An exciting opportunity has arisen to join the expanding Vascular Surgery service at Nottingham University Hospitals NHS Trust. We are seeking two motivated and detail-oriented administrators to support the introduction of two new Consultants to the team. This new post will play a vital role in the efficient coordination of patient pathways, with a particular emphasis on the timely and accurate typing of clinical correspondence from dictations through audio typing.

The post holder will be responsible for delivering a comprehensive administrative service, ensuring robust management of outpatient and inpatient tracking systems, and supporting the clinical team with daily operational duties.
The successful candidate will manage shared mailboxes, liaise across hospital sites, respond to queries, and provide high-quality, accurate audio typing of clinic letters. A strong commitment to confidentiality, precision, and teamwork is essential.
Key responsibilities include:
Typing clinical correspondence from audio dictations, prioritising urgent communications.
Maintaining patient trackers and escalating delays as required.
Supporting Vascular Coordinators with bookings, data entry, and clerical tasks.
Managing communications including telephone enquiries, email correspondence, and post.
Attending meetings, taking minutes, and disseminating information across the team.

Detailed job description and main responsibilities
As a Patient Pathway Administrator, you will be an integral part of a high-performing administrative team committed to delivering excellence in patient care. With the appointment of two new consultants, the service is undergoing expansion, and this post has been created to ensure continued high standards and resilience within our operations.
You will have proven experience in a busy administrative setting, with strong proficiency in MS Office and medical audio typing. Your typing competence will need to be evidenced in your application and at interview to be able to proceed with your application. A typing test will be conducted for assessment of transcription speed and accuracy.
You will demonstrate initiative, effective time management, and the ability to respond flexibly to changing service needs. Experience with NHS systems such as Medway PAS and an understanding of outpatient workflows will be advantageous.
This is a dynamic role requiring excellent interpersonal and organisational skills, and offers the opportunity to contribute to an evolving, ambitious service at the forefront of vascular care in the East Midlands.
