We're seeking a Team Admin to join our wider admin team supporting the Aylesbury Community Mental Health Team. You'll play a vital role in improving access to dedicated mental health support in local community settings across Buckinghamshire.

You will be managing enquires, via email and telephone, from service users and professionals.  You will also be responsible for general administration duties for clinical staff, minute taking, data recording and collection. 

The CMHT is based at the Whiteleaf Centre in Aylesbury.  This is a modern purpose built resource centre for people with mental illness, offering both inpatient, community and outpatient facilities.

Main duties of the job

  • Handle general enquiries into the CMHT.
  • Respond to email and telephone enquiries,  using a high level of initiative.
  • Working in a confidential, respectful and sensitive manner.
  • Organising meetings (including minute taking), co-ordinating the diaries of team members and providing administrative support as required
  • Provide administrative support to the team ensuring that there are effective administrative systems and procedures in operation.

Detailed job description and main responsibilities

Some of your responsibilities will be:

  • To provide an efficient and effective comprehensive administrative support to the Administrative & Performance Manager/team/service
  • To provide secretarial support to members of the team utilising a high level of IT skills to produce quality documentation to support the work of the team using the appropriate Microsoft software and adopting the Trust’s corporate standards and style
  • To respond to email, telephone enquiries and written enquiries using a high level of initiative and responding in a confidential and sensitive way and action in an appropriate manner.

Qualifications

Essential criteria
  • NVQ Level II in business administration or equivalent experience
  • GCSE English and Maths (minimum Grade C or equivalent)
Desirable criteria
  • Recognised secretarial qualification (eg RSA or equivalent)

Knowledge and Experience

Essential criteria
  • Experience of using Office computer programs including MS Teams, Excel, Word and Outlook
  • Ability to manage and prioritise own workload
  • Ability to liaise with both the public and all professionals in a confident and effective manner
  • Experience of working in a role with varying demands
  • Ability to work effectively under pressure/with interruptions
Desirable criteria
  • Experience of working in a healthcare environment
  • Working knowledge of email systems and electronic health records systems
  • Experience of working within Mental Health Services

People Skills

Essential criteria
  • Able to communicate with staff across all levels of the organisation
  • Able to communicate in a respectful and senstive manner with service users

  • Experience of dealing with challenging telephone calls
