As an Estates staff within the Trust, you will play a crucial role in ensuring the smooth and efficient operation of our Estates operations across the hospital.

Main duties of the job

Centralised Recruitment:

We have adopted a centralised hiring process for Estates support roles in bands 2-3 and 4-5. This means you apply once and are considered for multiple positions within our organisation, saving time for both candidates and managers while accessing a broader talent pool.

This week are currently recruiting for the following Band 4 role across the organisation:

  1. Recruitment Assistant - 22.5 hours per week - Fixed Term until March 2026

Key Responsibilities: 

  • Manage the recruitment process for recruitment via TRAC, our recruitment applicant Tracking System
  • Provide excellent customer service to our Hiring Managers by assisting them with their recruitment questions and queries within the division that you are working for 
  • Work towards reducing our Time to Hire to help ease our staffing needs
  • Work as part of a team to deliver an excellent recruitment service to the organisation #OneTeamOneOUH

A typical day in the General Recruitment Team: 

  • Working via TRAC to ensure vacancies are moved through the recruitment life-cycle in a timely manner
  • Attend a morning meeting with your Recruitment Coordinator regarding priorities for the day
  • Respond to email queries from stakeholders in a timely manner
  • Answering the phone and dealing with phone queries 
  • Advertise roles via TRAC and NHSJobs 
  • Sending out conditional offers of employment 
  • Make  Certifiocate of sponsorship applications
  • Process candidates pre-employment checks in line with the NHS Checks Standard

Detailed job description and main responsibilities

We are looking for a Recruitment Assistant to work on  general recruitment and onboarding.  Previous experience within recruitment and or a similar role is desired but full training is provided. You will need to be enthusiastic, proactive and organised to support the delivery of an efficient and effective recruitment service across our organisation. The Recruitment Team supports the recruitment and safe on-boarding of staff into the Trust and this role will specialise in general staffing recruitment. 

This role will see you working with a range of stakeholders including other Recruitment Assistants, Recruitment Coordinators, Hiring Managers, Candidates and Internal teams.  You will play a pivotal role in all day-to-day recruitment administration activities.

Eligibility

Essential criteria
  • Educated to GCSE or equivalent.
  • Administration experience in a customer-facing role.
  • Knowledge or use of TRAC and ESR
  • Microsoft Office skills
Desirable criteria
  • Certificate in Personnel Practice/CIPD.
  • Previous experience of working in a recruitment office, dealing with high volume recruitment.
  • Previous experience of providing advice on HR policies.
  • Previous experience of working in a healthcare setting.
