Job overview

The role is to provide maternity cover for 12 months acting as the Head of Soft FM Performance and Quality. This is a key role within the PFI team and will ensure that the 3 PFI contracts and our partners are supported to ensure the obligations of the Soft Services contract elements are met and reported onwards to give assurance to the Chief Estates and Facilities Officer and the Trust Board. 

The role will involve a large amount of time working collaboratively with other members of the PFI team and engaging with the management teams of the service providers, so good interpersonal skills will be key to the success of the role, as will a positive, open approach to working as part of a  much larger team

Main duties of the job

  • To be responsible for the compliance and contractual management for the Soft FM services of the Trusts PFI contract portfolio. The contracts consisting of the provision of Soft FM services and activities for staff, visitors, and patients, so that the agreed terms of the contracts are being met and that this can be demonstrated.
  • To provide leadership and support to deliver Soft FM services across the Trust considering the impact on the patient in the delivery of those services.
  • To safeguard capacity, quality, cost/value for money and continuity for the long term PFI contracts.
  • To provide assurance to the Trust, through service monitoring, contract, and ongoing reviews the performance of all Soft FM services meets the needs of the Trust and complies with the contract requirements and terms and technical, statutory, and mandatory obligations pertinent at the time to provide a safe and efficient healthcare environment.
  • To represent Trust interests to contracting parties

Detailed job description and main responsibilities

  • To be responsible of the performance and quality management of the Soft FM elements of the PFI contracts and service providers in line with the obligations and schedules of the contracts and, to ensure that all information is reported via the CAFM systems is accurate, detailed and maintained in accordance with all corporate policies.
  • Ensure that the Soft FM PFI service providers deliver their obligations under the contract and introduce performance and quality management measures to track and evidence compliance with the contractual responsibilities.
  • Support the development of the Soft FM services to ensure that the facilities and services are maintained and delivered in accordance with the requirements of the contract and all other NHS requirements, notably National Standards of Healthcare Cleanliness, relevant and appropriate food standards and using interrogation/interpretation of complex data sets identify elements of the service provision that may require intervention or replacement so as not to impact on the users of the facilities.
  • Work alongside Trust colleagues to deliver continuous improvement, enhancement and sustainability to the overall patient experience across the Trust PFI portfolio.

  •  To identify and deliver continuous improvement in the Soft FM services being delivered across the Trust PFI portfolio and work collaboratively with the service providers to document and record these improvements inclusive of the any cost savings identified.
  • Responsible for identifying, recording, and formally documenting any service or quality failures in the provision of Soft FM services.
  • To line manage the Trusts Soft FM lead and administrator in the management of the Soft FM services and to resolve complex queries and information as required.
