Digital Procurement and Asset Officer

Job overview

This role will provide comprehensive administrative support to the procurement and asset management Team to assist in the operational management of digital assets for Powys Teaching Health Board. The post holder will be key in maintaining the digital asset records and will reflect amendments in the lifecycle of digital assets and systems on a day-to-day basis. Provide admin support to organisational-wide digital asset service users. This will involve responding to and managing routine service requests to conclusion. Be the first point of contact to a wide range of stakeholders in Powys Teaching Health Board. Duties will include configuration item level data input, data quality assurance, supporting and advising colleagues in using digital assets and procurement.  As part of a flexible workforce, the post holder will work with other Support and Delivery colleagues to provide cover across administrative support areas for Digital transformation Teams service improvement projects and  systems development as required.

 

Main duties of the job

The post holder will have the following roles and responsibilities:

Provide advice to staff, on the adoption of Digital Asset management policy and processes.

Develop processes and work instructions related to the digital assets and configuration management databases.

Procurement of assets for users, ensuring that they are completed within the contracted time. This may involve liaising with budget holders, finance and 3rd Party suppliers.

To carry out asset and configuration audits, having an analytical approach to ensuring that the various Digital Transformation and Informatics Services and national health services assets used are accurately logged and deprecated in line with Digital and financial policies.

Provide advice, updates and resolution to Powys THB service users when an asset is required for supported Powys THB Digital Transformation and Informatics or National Services. These assets can be any digital equipment which includes printers, switches, servers, laptops and related peripherals.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

  • Educated to A level or AS level or equivalent knowledge and experience Training at NVQ Level 3, RSA 3, or equivalent knowledge and experience Knowledge and experience of general IT systems including Microsoft Office (to include Outlook, Word and Excel), database management and finance systems Understanding of the importance of confidentiality and experienced in implementing processes to comply with the principles of the Data Protection Act
  • Significant experience of working at an administration level in a relevant setting Significant experience of efficient methods for the management of stakeholder enquiries, 1st line systems support, document management, project support and general office support Experience of successfully working for multiple teams in a busy and demanding environment Demonstrable experience in prioritising and managing own workload Experience in prioritising daily and ongoing tasks to meet both routine and non-routine deadlines
  • Ability to plan and organise effectively Good interpersonal skills at all levels
