As part of a small team, you will provide an administrative function for the Occupational Health Team. The role will involve use of our OPASG2 Data Management System, all Microsoft 365 applications and a high level of communication skills to liaise with PTHB staff, managers, new employees and external stakeholders on a daily basis.
Main duties of the job
Responsible for the day-to-day function of the office and the development, implementation and maintenance of office practices and procedures, within the administration team.
Carry out a full range of administrative tasks, to include audio typing and follow up of Consultant/ OH Manager Letters and Reports. Booking appointments, clinics and accommodation for vaccine/immunisation clinics.
Being the 1st point of contact for staff members looking to access the service for referrals, counselling and immunisation updates.
Organise and co-ordinate meetings and take minutes, and ensure actions are followed up.
Produce Occupational Health data for both internal PTHB requirements and coordinate, analyse and produce data for Public Health and Welsh Government requirements as required for example as in immunisation data re uptake.

Detailed job description and main responsibilities
Administration skills to support the clinical Occupational Health Team including use of the Data Management system.
Communicating with staff and managers verbally and via electronic systems.
Audio typing of clinical reports.
