THIS POST IS FIXED TERM FOR 9 MONTHS DUE TO MEET THE NEEDS OF THE SERVICE
To provide comprehensive, confidential secretarial and administrative support to the CRHT Consultant Psychiatrist, Team Manager, and wider multidisciplinary team. The post holder will manage a varied workload, organise meetings, correspondence, and records, and support the efficient running of the service.
The role requires the ability to work independently, maintain strict confidentiality, and deal professionally and sensitively with patients, carers, colleagues, and external agencies. A flexible approach is essential, together with a good working knowledge of administrative systems and healthcare databases, including PAS/Myrddin, WCCIS, and Microsoft Office applications.
Main duties of the job
Provide high-quality secretarial and administrative support to the Consultant Psychiatrist, Team Manager and multidisciplinary team.
- Manage diaries, appointments, meetings, correspondence, and clinical documentation, ensuring accuracy and timely completion.
- Organise and minute meetings, prepare agendas and documentation, and monitor follow-up actions.
- Act as a first point of contact for patients, carers, staff and partner agencies, handling enquiries professionally and confidentially.
- Maintain electronic and paper records, including patient information, referrals, reports and statutory documentation.
- Support the coordination of clinics, MDT meetings, training, recruitment, travel arrangements and other service activities.
- Prioritise workloads, meet deadlines and contribute to the efficient day-to-day running of the service.
- Provide cover for colleagues as required and support the induction of new staff.
- Maintain strict confidentiality and comply with Health Board policies, information governance requirements and relevant legislation.
