Job overview

To provide effective support and administrative service for the Business Support Manager (BSM) within the Planning & Performance Services Department at the Welsh Blood Service (WBS) as part of a professional, friendly and customer focused service, liaising both externally and with colleagues across the WBS.

1.       This post is fixed term/secondment until 02/11/2026. (This form is for the staff member and line manager to complete and return to you)

Main duties of the job

The post holder will provide full administrative support to the Business Support Manager consisting of, but not limited to, organising meetings, meeting support (i.e. recording minutes and maintaining action logs), assist with preparation of reports, digital document management and use of spreadsheet databases.

 

Maintain accurate diary systems for Business Support, including own and Business Support Manager’s diary.

 

Daily use of Microsoft Office, including Word/Excel/PowerPoint/Teams/Co-Pilot, in delivery of Business Support workstreams and communicating with colleagues.

Qualifications & Knowledge

Essential criteria
  • Educated to GCSE or equivalent level
  • Willingness to learn new skills
  • Strong attention to detail and organisational skills
  • Able to relate and engage with staff at all levels
Desirable criteria
  • NVQ level 3 or equivalent in relevant subject e.g., administration

Experience

Essential criteria
  • Administrative/secretarial experience
  • Understanding of Information Governance requirements
  • Use of Microsoft Office 365 systems, including Microsoft Teams or equivalent
  • Experience of recording digital meetings and recording agreed actions
Desirable criteria
  • Experience in an administrative role within healthcare environment
