Job overview
The post holder will provide operational and administrative support to the anaesthetic and theatre department in a way that is responsive to their needs and contributes to the effectiveness of their role. The post holder will work between anaesthetics and theatres responding to a variety of situations on a daily basis co-ordinating anaesthetic and theatre services.
The post holder will provide a high level of professional, expert administrative support to the surgical interface for theatres and anaesthetics. Will have a high level of autonomy and will be expected to achieve objectives and requirements of the role. Will support the utilisation of theatre capacity, build and support the anaesthetic rota for theatres and on call rotas for consultants/middle grades and trainees.
The post holder will be a key member of the management team and will be required to support both the Theatre Services Manager, Nurse & AHP Clinical Lead and Clinical Lead for Anaesthetics with projects, initiatives and represent in meetings. The role requires liaison with all stakeholders involved in the delivery of anaesthetic and theatre activity.
The post holder will support both current and future digital technologies to underpin the way services are delivered and drive all aspects of innovation and service improvement across all settings. Lead the development of a sustainable workforce that is fit for future within their area of responsibility.
Main duties of the job
To take the lead with job plans and demand and capacity modelling of the anaesthetic services.
To work with system partners to put in place anaesthetic pathways that care for patients in the most appropriate settings and reduce avoidable demand for theatre services.
To assist the management team in the production of business plans and service development and lead on specific projects.
To analyse, monitor and manage anaesthetic and theatre activity contributing to reducing waiting lists and patient cancellations using robust data quality models. Have knowledge and understanding of data collection methods and able to influence operational factors in order to compare and present accurate statistical data. Ability to forecast future activity based on demand and capacity modelling as well as trends.
Line manage clerical staff providing leadership, motivation and support. Develop staff, manage absence, appraisals and mandatory training compliancy in line with HR policies and procedures. Liaise with the theatre services manager regarding any possible workforce gaps with the ability to undertake the recruitment process.
To support the national and Trust’s elective plan by understanding performance targets and how they are measured.

Ensuring performance dashboards have accurate information with attention to detail to support the collection of data for theatres and anaesthetics.
To arrange anaesthetic rota cover liaising with medical teams to ensure safe services are provided 24/7 including short notice changes.
To support new digital technology within anaesthetics and theatres and be able to lead roll out any training requirements.
Support the governance arrangements within the services / division including audit, complaints, incidents, risk and health and safety.
Work on own initiative to manage and prioritise tasks to support effective and efficient running of the services.
Receive and make telephone calls on behalf of the management team, taking messages, dealing with enquiries appropriately and ensuring accurate and timely communication of messages including issues of a confidential and contentious nature.
Represent the Theatre Services Manager as required.
To assist the Theatre Services Manager with performance management systems ensuring that Trust’s standards are understood and adhered to and that performance reports are produced to enable compliance.
