Applicants are invited for an opportunity in Therapies Admin as an Admin and Booking Coordinator. The role will be to focus on supporting the Therapies Clinical Team Lead and when required to cover within the MSST Level 3 Admin Team. Essential is to be computer literate, as various systems used, good communication skills and excellent team working ability.
Main duties of the job
The Admin and Booking Coordinator will provide a full range of administrative functions such as using the hospital and NHS IT systems, recording activity data, booking appointments ie telephone also face to face on reception.
We are looking for a professional, experienced administration who is able to work well as part of a team, but also to work autonomously.

Detailed job description and main responsibilities
The Admin and Booking co-ordinators work across Therapies and MSST providing outpatient services for GP, Consultant and AHP referrers and private patients. Services are accessed by Shropshire, Telford, and Wales and out of area patients.
The services are provided by range of clinicians including Consultants in Sport and Exercise Medicine, Registrar GP with Extended role, Advanced Practitioners (Podiatry and Physiotherapy), Occupational Therapists, Physiotherapists and associated support staff. The services are delivered in locations across the county and include MSK, Women’s Health, Paediatrics Rheumatology, Neurology, Orthopaedics, MCSI.
The Admin and Booking Co-Ordinator's are required to work across numerous systems to provide a Shropshire wide service, including ERS, RIO, Apollo,. Referrals and queries are received in multiple inboxes that must be managed in line with service standards.
Therapies and MSST provides a patient focused and responsive contact point for patients, ensuring all appointments are booked within the specified time limits. Admin and Booking Co-Ordinator's will manage their own delegated responsibility in operating a partial or full booking process receiving paper and electronic referrals for Outpatient specialties. Each Admin and Booking Co-Ordinator will have a lead responsibility for clinic management for a group of Clinicians/Specialises. Each Co-Ordinator will be expected to provide cross cover to other Specialties in the absence of colleagues.
The Admin and Booking Co-Ordinator's will manage and co-ordinate the outpatient pathway from the ERS, through discharge or PIFU. To ensure appointments are booked according to the relevant protocols, MSST handbook booking policies and procedures. Contributing to the overall efficient and effective running of all designated clinics.
Establish and maintain good working relationships with other staff, Clinicians and support staff, radiology and other diagnostics, record staff, MSST partners & GP Practice staff.
Maintaining multiple clear and robust waiting lists, maintain monitoring clinic capacity to treat all patients on the waiting list, and in collaboration with MSST referral centre. Working closely with the Team Leaders and the Business Manager/Assistant Manger and Service Manager.
Deal with enquiries from Outpatient staff, MSST partners referring Practitioners, Patients and other Health Service Organisations, providing an essential support service in relation to Therapy Services and MSST Level 3.

Qualifications
Essential criteria
- NVQ Level 3 or equivalent expereince
- Good standard of education to GCSE C standard in English and Maths
Experience
Essential criteria
- Experience in an office environment.
- Use of computers
- Previous NHS/public sector experience or equivalent offering direct customer care or demonstrate transferrable skills from other sector
- Competent in Microsoft Office
Desirable criteria
- Previous experience of Medical Records/Therapies and MSST Level 3
- Knowledge of patient access standards or ability to learn
Skills/Knowledge
Essential criteria
- Able to sort accurately into numerical and alphabetical order
- Ability to utilise electronic patients and other databases
- High level of verbal and written communication skills
Desirable criteria
- Knowledge of outpatient booking systems
