Job overview
We are looking for an administrator to provide comprehensive professional and confidential administrative support to the members of the Clinical Placement Team and to the Education, Training & Development team.

Main duties of the job
· Maintain a high level of communication with the Teams
· Manage Clinical Team diaries and deal with enquiries from any internal and external contacts. Ensuring that urgent enquires are given to the appropriate person.
· Develop a system to ensure all important messages are relayed as quickly as possible
· Communicates complex information by telephone and e-mail in an articulate manner.
· Post holder required to have accurate keyboard skills and be familiar in the use of Microsoft Office applications including, Word and Excel.
· To set up and maintain any data bases as required by Teams.
· Produce reports and audit data sets.

Detailed job description and main responsibilities
· Maintain student placement timetables.
· Upload information onto the Trusts intranet page.
· Design and prepare posters for educational events.
· To maintain electronic filing system and initiate systems for the correct and safe storage of information both in paper and computer generated form.
· Arrange and prepare meeting agendas. Take and type minutes for meetings and distribute after approval.
· Arrange meetings, booking venues and refreshments as necessary
· Report and record Student/ learner absence.
· Type and disseminate written communications to the wider workforce.
· Photocopy, scan and upload information digitally
· Maintain stationary supplies using the Oracle ordering process.
· Manages own duties; prioritise needs of both Teams in an organised way.
· Works independently when Team Leads are out of office.
· To carry out any other duties as requested by the Teams.

Essential criteria
- GCSE ICT C grade or above.
Skills
Essential criteria
- Understanding of Microsoft Office / Competent in use of ICT.
- GCSE English C grade or above
- Advanced level knowledge of Microsoft applications, especially word, spreadsheets, and power point.
- Able to work autonomously with responsibility for defined pieces of work, eg activity statistics
Desirable criteria
- RSA 3 qualification
- Ability to generate reports and extract information from databases.
- Reception/formal office experience Team working experience
Qualifications

- GCSE Maths C grade or above
