Job overview

An exciting opportunity has arisen to join the Avon and Wiltshire Mental Health Partnership (AWP) Safeguarding Team as a member of the Administration Team.

This part-time role offers an excellent opportunity for a highly organised and motivated individual to provide comprehensive administrative support to a busy and professional safeguarding service. 

Working within the Safeguarding Team, the post holder will play a key role in ensuring the effective and efficient delivery of administrative processes that support safeguarding activities across the Trust.

The successful candidate will be responsible for a range of administrative duties, including maintaining accurate records and databases, arranging meetings, preparing documentation, and supporting the coordination of safeguarding processes.

This position is offered on a part-time basis, working 18.75 hours per week, and provides the opportunity to become part of a supportive and dedicated team committed to safeguarding excellence and continuous improvement.

Main duties of the job

Act as a liaison and contact point for the safeguarding team.

Deal with the initial handling of incoming calls, logging on database and ensuring that they are passed on to the appropriate person as soon as possible.

Deal with referrals/contacts in the safeguarding admin inbox, logging on database and ensuring they are passed on to the appropriate person.

Liaise with other internal and external services as appropriate.

Taking accurate messages and ensuring they are received by the appropriate person as soon as possible.

Deal courteously with staff and representatives of other agencies whilst always maintaining confidentiality.

Detailed job description and main responsibilities

Prioritise and organise own workload

Copy and audio typing of letters and reports as required

Maintain an accurate and comprehensible filing system (electronic)

Maintain up-to-date and accurate databases of information

Co-ordinate statistical data and general information as required

Maintain up-to-date diaries as required

Set up meetings and provide support to book rooms, collate papers and take notes as appropriate

Maintain and order stationery supplies and other stores

Maintain adequate supplies of forms and pro-forma documentation

Process orders and/or maintenance requests

Any other duties as requested and commensurate with post and grade

Cover for other administrators in the team as required

Ensure that administrative colleagues and managers are kept informed of all information pertinent to the maintenance of the high standard of the service and standards of care

Work within national, local and trust policies, procedures, guidelines and standards

Education and Qualification

Desirable criteria
  • NVQ Level 3 Business Administration / RSA 3

Experience and Knowledge

Essential criteria
  • Experience of working within a busy team
  • Experience of administrative systems and office procedures
