Older People's Unit Rota Coordinator

Job overview

The Older Persons Unit is excited to recruit a full-time Rota Coordinator. This is a new post to support the function of a busy team caring for frail patients across the Trust. 

Main duties of the job

The post holder is to provide full and comprehensive admin support for the management of the Medicine Divisions Doctors Rotas; being the first point of contact for medical staffing Rotas within the Medicine Division.

To assist the Lead Consultants from the Medicine Division to provide the main administrative support for the smooth running of the day-to-day operational functions of the Department. To coordinate the medical staffing rotas, liaising with the Consultants, Nursing staff and Secretaries, and ensuring all medical leave is managed appropriately, this being key to delivering the appropriate cover to enable meeting the department's personnel requirements.  

To escalate any rota gaps or operational issues that would affect the day-to-day operational functioning to the Speciality Manager and Lead Consultants; of the Medicine Division.

To support the collection of accurate, reliable and complete data, using a variety of sources of information including existing database systems and patient records.

  • • Vocational Level 4 or Higher National Diploma Qualification or equivalent experience • Knowledge of a wide range of secretarial and administrative procedures requiring on- going job training and experience

  • • Experience of working to tight deadlines • Experience in being able to overcome obstacles and problem solving to identify alternative solutions to ensure service delivery is maintained • Experience in meeting operational objectives • Experience of working in a fast paced changeable environment • Ability to liaise with medical staff confidently and with credibility • Experience in using databases, data collection, and data entry and using excel to analyse data
