An opportunity has arisen to join the administrative team within the Bristol ADHD Service.

The service provides specialist assessment, diagnosis, and treatment for adults with suspected ADHD, covering the full BNSSG area. As a highly specialised service, we play a vital role in supporting individuals throughout their diagnostic journey and ongoing care.

Our multidisciplinary team includes consultants, specialty doctors, nurses, psychologists, non‑medical prescribers, and administrative staff. We are a small, supportive, and collaborative team based in Hengrove, Bristol, and we welcome applications from motivated and professional administrators who are keen to contribute to this important area of work.

Working under the supervision of the Lead Administrator, the successful candidate will join the established administrative team within the Bristol ADHD Service.

The service is extremely busy and fast‑paced, currently supporting a caseload of more than 5,000 service users. This role therefore requires someone who is highly organised, able to prioritise effectively, and confident working under pressure.

Strong communication skills and proficiency in Microsoft Office applications are essential. A calm, professional, and approachable manner is also important, as the post holder will often be the first point of contact for service users. Some calls may be challenging due to the nature of ongoing mental health difficulties, and the ability to remain composed and supportive is key.

Core responsibilities will include managing clinicians’ diaries, booking appointments, responding to enquiries, and handling a high volume of telephone calls.

Arrange and coordinate appointments for clinical staff, ensuring accurate scheduling and timely communication with service users.

Respond to telephone and email enquiries from service users, carers, and professionals, providing clear information, guidance, and support in a calm and professional manner.

Use RiO as the primary clinical system, entering accurate notes, updating records, and maintaining data quality in line with Trust standards.

Process referrals and discharges, ensuring all documentation is completed correctly and workflows are followed efficiently.

Take minutes for team meetings on a rota basis, producing clear and timely records of discussions and actions.

Manage incoming and outgoing mail, including distributing correspondence and handling confidential information appropriately.

Maintain general administrative systems, such as shared inboxes, electronic filing, and team calendars.

Support clinicians with administrative tasks, including preparing documentation, uploading reports, and managing communication with service users.

Work collaboratively with the wider admin team, contributing to a smooth-running service and supporting colleagues during busy periods or staff absence.

  • Strong organisational skills, with the ability to manage competing priorities in a fast‑paced environment.
  • A compassionate and patient‑centred approach, with an understanding of the needs of adults accessing mental health services.
