Job overview

The Bristol Triage Service is the first point of access to Mental Health Services in Bristol. The team is busy with a high volume of referrals into the team and telephone calls from professionals, service users and carers.

We are looking for a self-motivated person who can work under pressure using their initiative, professional attitude and administrative skills to support the smooth running of the team.

This is a challenging role, which involves answering the phone and dealing with queries, arranging and changing of appointments, booking rooms, monitoring performance, processing of referrals and discharges and all general administrative tasks. 

There is often contacts from callers in distress and the ability to keep calm, empathic and level headed at all times is a highly desired quality of the person who can do this role.

Main duties of the job

To provide comprehensive administration and secretarial support to the Triage  team. 

This will include being the first point of contact for the team, which  could involve duties such as meeting and greeting visitors, receiving initial enquiries and directing telephone calls.

You will also be taking calls from health care professionals wishing to make referrals to Bristol Mental Health.

Main duties of the job

Liaise with a wide range of stakeholders.

Utilise strong written and verbal communication skills. 

Handle sensitive information appropriately. 

Compassionately managing contact with distressed service users.

Exercising judgement when dealing with enquiries and escalating where necessary. 

Arranging meetings and appointments and negotiating diary conflicts.

Inputting accurate and up to date patient data onto the RiO system.

Maintaining efficient and effective filing systems.

Taking and distributing formal minutes as necessary.

Clerical duties, including photocopying and scanning.

Providing cover for colleagues when and where necessary.

Managing own workload and prioritising conflicting demands.

Other tasks which are commensurate with the broad purpose and banding of the role.
