Job overview

An opportunity has arisen for a Band 3 Ward Administrator to join the team at New Horizons Mother and Baby Unit located on the Southmead Hospital site in North Bristol. We are looking for someone who is motivated, sensitive to others needs and wants to work as part of a team within the NHS. 

New Horizon MBU is a 4 bedded stand alone inpatient unit that provides specialist care and treatment for women suffering from perinatal mental health difficulties. The unit supports women from 32 weeks antenatal and postnatal women with babies up to one year of age. New Horizon MBU particularly supports mothers who are having issues relating to attachment and bonding with their baby and when the mother’s mental health is effecting their ability to care for their baby. 

The team provides care across Bristol, North Somerset and South Gloucestershire (BNSSG) and work closely with primary care, maternity services, adult mental health teams, health visiting services and independent sector organisations to ensure that perinatal women have access to specialist support in relation to their mental health needs.

 

Main duties of the job

To provide comprehensive administration support to the multidisciplinary teams including medical staff. This will include being the first point of contact for that team and could involve duties such as receiving initial enquiries and directing telephone calls. You will work closely with the ward manager to ensure the smooth running of the unit, utilising exceptional organisational and administrative skills. 

Although your role will is administrative, you will come into contact with patients in distress, whether that is on the unit or over the telephone. It is crucial that the successful candidate is sensitive and understanding of mental health difficulties and maintains an open mind when coming into contact with those using our service. Excellent and adaptable communication skills are vital for this role.

Detailed job description and main responsibilities

There will be an expectation for the post holder to be highly motivated, flexible and multi-skilled with excellent organisational skills. They will possess excellent working knowledge of all Microsoft Office systems including Word and Excel.

The post holder will be able to work to high standards and will be required to take personal details from people and upload onto the electronic patient record system (Rio). The post holder will need to meet deadlines, collate data and maintain standards relating to administrative processes. They will need to be able to work within a team effectively and share work streams where appropriate.

The post holder will be key in maintaining diaries and arranging meetings, taking formal minutes and keeping appropriate records on the most up to date templates. Their work is managed rather than supervised and they are accountable for their own actions – manager is available for reference but generally, they will manage their own workload.

Above all the post holder will provide guidance and organisational support to ensure the smooth running of the unit, alongside the units leadership team.
