Our Children's and Adolescent Mental Health Team in Taunton are looking for a Team Secretary to work within our small team of administrators helping to ensure the smooth running of a CAMHS service which covers the West of the county of Somerset.

The role is office based and we are ideally looking for someone to work full time, although we can consider part time for the right person.

Main duties of the job

The CAMHS West team sees children and young people where there are concerns about their emotional, psychological wellbeing or mental health. The team consists of Specialist CAMHS Psychiatrists, Mental Health Nurses, Social Workers, Occupational Therapists, Psychologists, Assistant Psychologists, Support Workers and Administrators.

Your role will be to provide valuable secretarial and reception support to the team, enabling the service to run smoothly and continue to support young people and their families effectively. This will include arranging appointments, filing, minute taking, supporting the receptionist and other typical administrative/medical secretary tasks such as making contact with GP surgeries or other medical professionals, prescription related administrative tasks.

Detailed job description and main responsibilities

  • To collate and distribute incoming and outgoing communication into the team via post and email on a daily basis.
  • To organise and maintain a room booking system for meetings and appointments for various professional team members.
  • To assist in ensuring relevant files, papers, refreshments, etc are available for meetings.
  • To take initiative where necessary, prioritising the workload to ensure deadlines are met.
  • If required, to take responsibility for maintaining a small record storage area in their work place.
  • To assist with entering data, using the Trust’s computer network, regarding appointments, day treatment sessions, admissions, discharges, etc.
  • To provide the first line contact for calls coming in to the team, taking appropriate information prior to the involvement of a clinical staff member

Knowledge & Experience

Essential criteria
  • Previous administrative experience
  • Experience of setting up and maintaining office systems and procedures that support smooth running of the department
  • Knowledge and Experience of Microsoft Office packages
Desirable criteria
  • Experience of contact with users of mental health services
  • Experience of children and Young People’s Services

Qualifications & Training
