About Op COURAGE Southwest
Op COURAGE Southwest is an NHS England–commissioned service delivering the Integrated Veterans’ Mental Health Service across the Southwest region, covering Devon, Cornwall, Somerset, Bristol, Gloucestershire, Wiltshire, and Dorset.
Led by Avon and Wiltshire Mental Health Partnership NHS Trust, we are one of six national Op COURAGE services. We work in partnership with statutory providers, third‑sector organisations, and commissioned veterans’ services to deliver high‑quality, coordinated care for the Armed Forces veteran community.
We support reservists, veterans, and their families by providing a comprehensive mental health pathway that integrates a mental health, physical health, and wellbeing service, tailored to individual needs. Our service is available to anyone who has served in the UK Armed Forces, regardless of length of service, rank, or reason for leaving.

Main duties of the job
Key Responsibilities
- Providing day‑to‑day administrative support to the clinical and management teams
- Managing appointments, referrals, and patient records with accuracy and confidentiality
- Supporting communication within both the service and wider community
- Assisting with general office duties, including handling enquiries, maintaining databases, preparing documentation and supporting meetings
- Contributing to an efficient, welcoming, and veteran‑focused environment
This role would suit someone who is organised, reliable, and confident using administrative and IT systems. You will enjoy working as part of a team, have strong communication skills, and be committed to delivering a high‑quality service for veterans and their families.

We are looking for a proactive and well‑organised Band 3 Administrator to join our friendly and committed team. This role is essential in supporting the smooth running of our service and supporting the delivery of high‑quality care to veterans across the Southwest.

Detailed job description and main responsibilities
Liaise with a wide range of stakeholders, both internal to the organisation and external, including:
• Medical Staff
• Multidisciplinary Teams (Community or Inpatient)
• Services Users and Carers
• Health and Social Care teams
• Third sector/voluntary agencies
• Community groups and local authority provision
• Other statutory agencies e.g. Police, Ministry of Justice etc.
• Providing Secretarial support to named Medical Staff/management team
Utilise written and verbal communication skills to connect with a wide range of people
Exchange verbal and written information with patients, staff and carers relating to appointments, admissions and meetings etc
To receive and open mail (paper and electronic as necessary) and distribute/despatch accordingly ensuring appropriate action is taken with high priority items
To manage both telephone and face to face contacts with distressed service users in a supportive and empathetic manner
Arrange meetings and appointments for members of the team
Type patient reports/correspondence/e-mails as required, deal with telephone/face to face enquiries from patients. Input accurate and up to date patient data onto the Rio system

Education and Qualification
Essential criteria
- NVQ 3 in Business Administration or similar relevant qualification or Equivalent competence acquired by experience and willingness to undertake NVQ 3 Business Administration qualification under the Trust Apprenticeship Scheme
Experience and Knowledge
Essential criteria
- Experience of working within a team
- Able to organise and maintain a busy office/admin team.
- Experience of administrative systems and office procedures.
Desirable criteria
- Experience of administration in a clinical setting.
- Experience in activities such as answering queries, progress chasing, task-related problem solving, acquired through experience and training to Vocational Level 3 or equivalent.
- Experience of supporting senior staff such as Medical Consultants.
Skills and Abilities

- Good IT Skills – competent in Word, Excel, Powerpoint.
