Job overview

A rare opportunity for a career focused, experienced PA (Band 4) to work reduced hours (18-21 hours) for a small team, South Yorkshire Mental Health, Learning Difficulties and Autism Provider Collaborative, based in Doncaster, but working with the Doncaster team across projects in South Yorkshire.

Applications are invited from PAs with experience of working at Board level, producing minutes, organising events, managing diaries, etc for the Managing Director and supporting project managers (2).  An existing network of Senior PAs across NHS regional bodies would be useful but not essential.

The person we are looking for will have:

·       Excellent organisational and time management skills.

·       Strong written, proof reading and verbal communication skills.

·       High level of IT proficiency (Microsoft Office, SharePoint, Teams. Co-Pilot).

·       Experience supporting senior executives in a complex organisation.

·       Ability to work independently and as part of a team.

·       Discretion, diplomacy, and professionalism.

Main duties of the job

·       Provide a confidential PA service to the Managing Director and admin support to members of the team.

·       Manage complex diaries, schedule meetings, travel arrangements with internal/external NHS bodies and providers.

·       Prepare agendas, transcribe minutes, create action logs, track actions from meetings.

·       Handle sensitive information with discretion.

·       Build and maintain strong working relationships with Executive PAs across SY Mental Health Trusts.

·       Support cross-organisational coordination, including stakeholder engagement.

·       Organise collaborative-wide events, workshops and away days.

·       Develop and maintain digital structures (e.g. SharePoint, MS Teams) for document sharing and communication.

·       Ensure version control and accessibility of key documents.

·       Support the use of collaborative platforms/digital tools to enhance efficiency.

·       Assist in compiling/formatting reports, dashboards, and briefing papers.

·       Monitor and follow up on actions from executive and programme meetings.

·       Draft internal communications, newsletters, and updates on behalf of the MD.

·       Maintain collaborative intranet/web pages with current information.

·       Support digital engagement and social media monitoring where appropriate.

·       Work as an integral part of the RDaSH Executive Admin Team, supporting consistent and efficient PA processes.

Qualifications

Essential criteria
  • RSAIII or equivalent
  • •GSCE English & Maths or equivalent
  • NVQ level 3 Business Administration

Experience

Essential criteria
  • Demonstrable secretarial/PA experience supporting Executives and/or committees/groups i.e. diary management, bring forward systems, electronic filing systems, meeting preparation, minute taking, collating and presenting information etc
  • Working at Board Senior Leadership level.
Desirable criteria
  • PA experience supporting executive / senior management functions within the public sector.
  • Experience of supervising or overseeing the work of others.

Knowledge

Essential criteria
  • Advanced Microsoft Office apps, including Outlook, Word, Teams Powerpoint and Excel
  • Advanced keyboard skills.
  • NHS databases/software – ESR Excellent knowledge of ESR system,Integra, Radar, etc Clinical information systems user (SystmOne) as required and training provided.

  • Able to work pro-actively and at pace with minimal input from Executive, once working relationship is established.
