Job overview

We are looking to recruit a team secretary to support the management and secretarial functions within the Rotherham Primary Care Mental Health Team.  This is an exciting opportunity to be involved in the mobilisation of a newly created team, working as part of the Rotherham Community Mental Health Transformation Programme.    

We are seeking someone who is able to use their own initiative within set boundaries of the post, who has strong organisational and prioritisation skills. Someone who is able to be confidential, supportive, creative and dynamic. 

There would be support from other staff working in the same and/or similar roles across the care groups. Rotherham Care Group is a very caring and supportive place to work where we want people to thrive and be supported to do their best job. 

Main duties of the job

  • Provide comprehensive secretarial and administrative support to the identified Care Group Service Manager/Leadership Teams as appropriate
  • Deal with routine correspondence and telephone calls on behalf of the Service Manager/Team Manager.
  • Diary management for Service Manager/Team Manager including proactive preparation of documents and papers for agreed meetings as directed
  • Email management for the Service Manager/Team Manager as required and agreed
  • To provide administration support to identified work within the pathway as requested
  • Assist the Service Manager/Team Manager with the recruitment and selection process; compiling candidate letters, arranging interview dates, ensuring all documentation for successful candidates is received
  • Distribute relevant information to internal and external organisations on behalf of the Service Manager
  • Prepare and coordinate new staff inductions
  • To undertake any duties in line with the Service Manager/Team Manager or service’s requirements as requested.
  • Ensuring efficient day to day management of the administration office, including booking meetings, events and meeting
  • Supporting the Service Manager/Team Manager with requests for information
  • Supporting the team as appropriate and applicable.

Qualifications

Essential criteria
  • Educated to NVQ Level 2 or equivalent in appropriate subject e.g. Business Admin
  • RSA II Typing or equivalent experience including autonomous working/display competencies
  • Education to GCSE level or equivalent
  • RSA Stage ll Audio Typing Qualification or Equivalent
Desirable criteria
  • ECDL or equivalent qualifications
  • QSIR or equivalent qualification in quality and service improvement

Experience

Essential criteria
  • Knowledge and experience of using Microsoft Office applications
  • Demonstrable experience of working in a busy environment, office procedures, and workload management
Desirable criteria
  • Previous NHS/social care experience
  • Use of online patient record system such as SystmOne and/or being an identified SystmOne Champion
