Job overview

Fixed Term: 12 months | Full-time

Join our Single Point of Access (SPA) team and provide essential administrative support to the Neuro-disability Service. Our team plays a crucial role in processing Autism and ADHD assessments and ensuring the efficient management of patient care.

You will oversee the team’s daily workload, providing support to ensure the smooth running of administrative processes. You’ll collaborate with both clinical and non-clinical teams, and patients and their families, to ensure a seamless experience for patient pathways.

We’re looking for someone who is:

  • Experienced in organising and implementing administrative processes, in a multidisciplinary team setting.

  • Focussed on providing excellent customer service

  • Empathetic and able to handle challenging, sensitive, and sometimes difficult situations

Main duties of the job

You will report to the Operational Support Manager, and your responsibilities will include:

  • Provide comprehensive administrative support to clinical teams to ensure patient pathways.
  • Manage the daily workload of the SPA team, prioritising tasks based on current pressures.
  • Supervise and support team members, including leading projects.
  • Communicate with patients, parents, and families, offering sensitive and empathetic support.
  • Coordinate meetings and communications between clinical teams, administrative teams, and external partners such as education and local authorities.
  • Ensure the accuracy and quality of information shared by the team, following Trust standards and expectations.
  • Report on the service position to the operational team

Qualifications and Training

Essential criteria
  • Educated to GCSE standard or equivalent, with a GCSE in Maths and English language (grade C or above)
  • Level 3 typing/word processing or equivalent qualification and experience.
  • NVQ Level 4 in Business Administration or equivalent or equivalent knowledge acquired through experience
Desirable criteria
  • Willingness to undertake relevant study to enhance skills/knowledge

Experience

Essential criteria
  • Experience of a range of administrative processes and scheduling/co-ordination of activities and or resources
  • Experience of organising and implementing administrative procedures to support a multi-disciplinary customer focussed service.
  • Experience of working in a multi-disciplinary team
  • Experience of using a wide range of IT and information systems including Microsoft Office.
  • Experience of working with parents/families or equivalent customer service experience
Desirable criteria
  • Experience of staff supervision/performing appraisals
  • Experience of using hospital information systems

Knowledge and Skills

Essential criteria
  • Ability to provide a proactive and high quality customer focused service.
  • Ability to input, retrieve and analyse information
  • Ability to manage conflict and difficult, challenging and sensitive situations
  • Strong interpersonal skills and ability to communicate information to parents in a sensitive and tactful manner.
