Job overview

Applications are invited from enthusiastic, proactive individuals to provide a daily administrative support service within Anaesthesia and operating services.

The post holder will be based at the Northern General Hospital but could be expected to cover like for like roles cross sites. 

Main duties of the job

The successful candidate will provide administrative support to the department including activities such as:

Administrative Support

Distribute incoming and outgoing departmental mail

Scanning and filing of request forms and other documentation as required

Requisition, collection and delivery of patient case notes in a timely fashion to support the admission of patients for elective surgery

Receive and distribute emails within the department and transmit emails on behalf of others when required

To follow agreed protocols and policies seeing advice where appropriate

To work in an efficient, effective and timely manner and be adaptable to change

To work in a safe manner in accordance with departmental and Trust Health & Safety Policies

As a member of the AOS Directorate, the post holder will be welcomed into the established administrative team to work alongside a range of colleagues. 

*This post is based at Northern General Hospital l but will require you to cover like for like roles cross site as per service need, a FOC bus service operates between sites, all training and support will be given before you are expected to cover*

Qualifications

Essential criteria
  • GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
Desirable criteria
  • NVQ Level II in Business Admin/Customer Service/IT

Experience

Essential criteria
  • Experience of working within an office environment
  • Experience of working in a public facing role.
Desirable criteria
  • Relevant experience within the NHS

Further Training

Essential criteria
  • Knowledge of / experience of using information and/or customer service systems.
  • Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
Desirable criteria
  • Previous experience Infoflex / 59R Software
  • Previous experience of PAS / Infoflex / SystmOne (area specific software)

Skills and Knowledge

Essential criteria
  • Understanding of data protection issues and the ability to maintain confidentiality
  • Excellent communication skills, with ability to deal with staff at all levels.
  • Displays use of initiative with effective organisational skill
  • Ability to prioritise and work to strict/conflicting deadlines
