Job overview

 

Applications are invited from enthusiastic, suitably qualified individuals to support the clerical team in the provision of a comprehensive administrative service. 

To facilitate the forward booking of appointments, diagnostic tests and procedures for patients on clinical pathways.  Ensuring a high-quality service to patients and the directorate, whilst complying with the National and STH polices and guidelines. 

To record accurately in the Patient Administration System each patient’s arrival, departure, future care plan, 18-week status and clinical coding.

Main duties of the job

 

The successful applicant will be an efficient and organised individual who is able to use their initiative to prioritise their workload, a team player with excellent communication / interpersonal skills 

To use Trust computer systems to manage outpatient waiting lists in line with Trust/National policy, and local and National targets. Example systems include: Lorenzo, e-Referral Service, CRIS, ICE and other identified database such as Infoflex.

To enter and maintain accurate data in relation to referrals, appointments, admissions, and decisions to provide treatment in the appropriate systems.

To book new, follow up and diagnostic appointments for consultants, nurses.

To ensure full utilisation of all available outpatient appointment slots and outpatient and inpatient procedure slots, through regular liaison with colleagues, including supervisors, service manager, clinicians and other administrative staff.

To arrange clinic cancellations and reductions in line with Trust policy, to meet local and national targets, and communicate to patient and other stakeholders.

To be responsible for contacting patients by telephone, text messaging or letter. 

To ensure that notes are available and prepared for clinics

Candidates must hold GCSE at Grade 4/C in English and Maths (or equivalent qualifications) or equivalent experience. It is essential that candidates have experience of working within an office environment.

Education and Qualifications

Essential criteria
  • GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
Desirable criteria
  • NVQ Level II in Business Administration / Customer Service / IT

Experience

Essential criteria
  • Experience of working within an office environment
  • Experience of working in a public facing role.
Desirable criteria
  • Relevant experience within the NHS

Further Training

Essential criteria
  • Knowledge of / experience of using information and/or customer service systems.
  • Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
Desirable criteria
  • Previous experience Infoflex / 59R Software
  • Previous experience of PAS / Infoflex / SystmOne (area specific software)
