Job overview

An exciting and challenging opportunity has arisen for an enthusiastic individual to join our General Surgery Outpatient Department at the Northern General Hospital. 

The successful candidate will provide high quality administrative service to facilitate all aspects of outpatient appointments within the General Surgery team. 

They will have excellent interpersonal skills as they will be in contact with patients both in person and over the phone. 

They will work closely with secretaries, waiting list coordinators, Nurses and Consultants to offer the best possible service to our patients.  

Main duties of the job

To ensure all referrals are dealt with properly and in a timely manner. 

To be responsible for filling outpatient clinics to 100% for the coming 6 weeks. 

To deal with patient telephone queries as part of our contact centre. 

To prepare patient documentation for outpatient clinics. 

To outcome outpatient clinics. 

To work on the General Surgery outpatient reception on a rota basis.

Education and Qualifications

Essential criteria
  • GSCE at Grade C in English and Maths(or equivalent qualifications) or equivalent experience
Desirable criteria
  • NVQ level II in Business Administration/ Customer Service/IT

Experience

Essential criteria
  • Experience of working within an office environment
  • Experience of working in a public facing role
Desirable criteria
  • Relevant experience within the NHS

Further Training

Essential criteria
  • Knowledge of/ experience of using information and/or customer service systems.
  • Working knowledge of Microsoft office packages including Outlook, Excel and Word.
Desirable criteria
  • Previous experience Infoflex / 59R Software
  • Previous experience of PAS / Infoflex / SystmOne (area specific software)

Skills and Knowledge

Essential criteria
  • Understanding of Data protection issues and the ability to maintain confidentiality.
  • Excellent communication skills, with ability to deal with staff at all levels.
  • Displays use of initiative with effective organisational skill.
  • Ability to prioritise and work to strict/conflicting deadlines.
