These roles sits within the Microbiology Admin Team who provide admin support based at the Northern General Hospital and requires an experienced and proactive senior secretary with a proven track record in managing and team working in a hospital environment. The post holder must have a proven ability of working independently and take a proactive approach in their work.

The Laboratory Medicine Directorate is divided into several specialist departments including Automated Blood Sciences, Specialist Blood Sciences, Blood Transfusion, Point of Care Testing, Microbiology, Virology and Histology. These departments have laboratories at both the Northern General Hospital and the Royal Hallamshire Hospital in Sheffield and in some instances are also networked with other external NHS Trusts.

The Directorate provides an analytical service that assists in the diagnosis of infection and disease in inpatients, outpatients, and community services in addition to offering specialist testing services to other hospitals.

Main duties of the job

 

Daily oversight in running of the administrative and clerical office, ensuring adequate staffing levels are in place including implementing rotas.

Undertake effective prioritization of own workload and the coordination of activities and duties related to the role. 

Ensure efficient office processes to meet turnaround time targets and prioritize workload of other more junior members of the team. 

 Analyse information to identify trends, reorganise working practices, and report findings to the Service Coordinator. 

Maintain operational procedures, standards, and recommend improvements for a high-quality service reporting anomalies to the Service Coordinator.

Assist in reviewing and implementing policies and procedures to meet local and national guidelines. 

Ensure efficient throughput of daily workloads to achieve set targets.

Education and Qualifications

Essential criteria
  • Level 4 qualification e.g. diploma or NVQ level 4 qualification or equivalent experience
  • GCSE (or equivalent) in English and Maths at grade C/4 or NVQ 3 in Business Admin/ Customer Care or equivalent experience
Desirable criteria
  • IT qualification to Level 2 or 3 and/or EDCL

Experience

Essential criteria
  • Extensive experience of secretarial/  clerical/administration duties
  • Experience of working in a confidential environment
  • Experience of meeting objectives and deadlines in a fast-paced environment
  • Experience of producing documents to a high standard of presentation with good accuracy
Desirable criteria
  • Minute taking experience Audio typing experience
  • Experience of staff management. HR policies and procedures and appraisal process.
  • Experience with NHS/Healthcare software systems
  • Recent & relevant experience working in a multidisciplinary environment

Skillls and Knowledge

Essential criteria
  • Working knowledge of Microsoft Office package (word, excel, access. etc)
