Job overview

Clinical Neuroscience is based at the Royal Hallamshire Hospital (RHH) and is the service provider for South Yorkshire, North Derbyshire, North Lincolnshire and North Nottinghamshire servicing a population in excess of 2.2 million. The Neuroscience Directorate includes, Neurosurgery, Paediatric Neurosurgery and Stereotactic Radiosurgery, Neurology, Neuropsychology and Neurophysiology. There are 51 Neurosurgical beds on N Floor and critical care facilities are housed on K floor. Paediatric services are provided at the Sheffield Children’s Hospital.

The fundamental goal is to improve the quality of care offered to the neurologically impaired patients so that they can live as productive and independent lives as possible.

The role of Medical Secretary is varied however the core values of the role are to provide a comprehensive and efficient secretarial service to the consultant neurosurgeon team. Ensuring that the neurosurgery theatre lists are fully utilised and that neurosurgery patients are appropriately managed through their care pathways adhering to National Waiting Time targets.

We have 2 vacancies available:

  • 1x Permanent, Part time - 18 hrs a week
  • 1x Fixed term, Full time - 37.5 hrs a week

Main duties of the job

  • Arrange and book theatre lists
  • Liaise with the inpatient Service Co-ordinator and Neurosurgery Operational Manager to ensure that sufficient theatre lists are available
  • Manage the relevant in-patient waiting list, ensuring adherence to the Trust and National waiting list policies and procedures.
  • Arrange hospital admissions for neurosurgery patients.  This will include arranging pre-operative assessments and admission dates.
  • Ensure that the relevant equipment is available for operative cases, as directed by the consultant.
  • Be the first point of contact for queries
  • Type patient correspondence and accurately maintain records of patient correspondence.
  • Maintain an effective investigation tracking system using the Trust Lorenzo application.
  • Take ownership of individual patient pathways and to make sure relevant comments are added to the relevant
  • Information Services tracking systems on a regular basis.
  • Liaise with the Clinic Support Team regarding outpatient appointments as necessary.

This vacancy is advertised on a fixed term contract basis for a period of 6 months due to the post being recruited as part of a limited term funding within the Trust. The fixed term contract status of the post holder will be reviewed in accordance with the Trust's legal obligations regarding fixed term contracts taking into consideration the requirement for the post to be maintained as a part of the project’s implementation and the timescales associated with this.

Qualifications

Essential criteria
  • Educated to GCSE level including English and Mathematics at grades C or above or equivalent qualifications/experience.
Desirable criteria
  • Educated to A Level standard or equivalent qualifications/experience.
  • RSA/OCR stage III (or equivalent qualification/experience) word processing or audio typing

Experience

Essential criteria
  • Experience in an administrative/clerical role within the NHS.
  • Experience of dealing with patients or members of the public over the telephone.
Desirable criteria
  • Experience of working with patient pathways and the 18-week referral to treatment target.
  • Experience of managing a waiting list.
  • Experience of STH Trust data systems.
  • Audio typing experience
  • Knowledge of medical terminology

Special Skills/Aptitudes

Essential criteria
  • Good computer and keyboard skills with the ability to use Microsoft packages including Word and Excel.
  • Excellent communication and organisational skills.
