Job overview
The Sheffield Eye Centre has an exciting opportunity for a dedicated and reliable individual to join their growing service. This position is pivotal in providing telephonic and administrative support to a city-wide service.
The successful candidate will be at the forefront of patient contact, using excellent communication and telephone skills to book appointments and deal with general enquiries for the service as well as providing data entry and general administrative support to maintain a quality experience for service users.
Main duties of the job
·
- Deal with telephone and face-to-face enquires and appointment bookings in a professional manner in accordance with local and national procedures
- Liaise with colleagues to ensure full utilisation of all available screening and outpatient appointments.
- Provide administrative support to clinical staff ensure targeted clinics run smoothly and efficiently, including the contacting of patients, and booking of appointments.
- Utilise the Lorenzo and Medisoft software packages to check the patients care pathway.
- Arrange clinic cancellations and reductions, in line with Trust policy and to meet local and national targets.
- Manage partial booking/review lists reporting potential overdue patients’ appointments to the Service Coordinator.

Education and Qualifications
Essential criteria
- GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
Desirable criteria
- NVQ Level II in Business Administration / Customer Service / IT
Experience
Essential criteria
- Experience of working within an office environment
- Experience of working in a public facing role.
Desirable criteria
- Relevant experience within the NHS
Further Training
Essential criteria
- Knowledge of / experience of using information and/or customer service systems.
- Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
Desirable criteria
- Previous experience Infoflex / 59R Software
- Previous experience of PAS / Infoflex / SystmOne (area specific software)
Skills and Knowledge
Essential criteria
- Understanding of data protection issues and the ability to maintain confidentiality
- Excellent communication skills, with ability to deal with staff at all levels.
- Displays use of initiative with effective organisational skill
- Ability to prioritise and work to strict/conflicting deadlines
