We are seeking an experienced and highly organised Team Administrator for the NHS Staffordshire and Stoke on Trent Talking Therapies Service 

 

This is a part time role (30 hours per week - working Monday, Tuesday, Thursday and Friday)

 

The successful candidate will need to be a car driver and will be required to work at both our Tamworth and Burton sites 

 

Candidates should be skilled and experienced in administration and demonstrate keen self-management skills to enable them to provide a high-quality effective and efficient service.

The Staffordshire and Stoke on Trent Talking Therapies Service is a creative organisation which embraces staff ideas to constantly seek ways of taking the service forward to adapt to changing expectations.

We have strong links with academic institutions with staff from the service teaching university courses devised in conjunction with MPFT

Our staff lead professional development sessions locally and nationally and you will be actively encouraged to develop your practice through internal and external CPD opportunities.

Main duties of the job

The appointed person will conduct a varied range of administrative duties and act as a focal point for communication with patients. Excellent interpersonal and communication skills (both written and verbal) are essential, as is an ability to organise and prioritise their own workload and to react quickly to changing situations. Strong IT skills are vital so applicants should evidence their experience of using data basis and Microsoft Outlook, Excel and Word on their application.

We are seeking an individual who is enthusiastic, compassionate, flexible and creative in their approach who can work alongside team members to provide high quality and effective administrative support.

The successful candidate will be supervised and line managed by the Business Support Manager but will be expected to work with high levels of autonomy in a high volume, time limited therapeutic setting. Previous experience working in an IAPT or equivalent service would be an advantage. People with lived experience of mental health issues are encouraged to apply for this post.

The service works core 9-5 hours but offers therapy opportunities for clients between the hours of 8am-8pm and in the future, on Saturday mornings. The successful candidate should be prepared to work flexibly to meet service needs within these hours.

Detailed job description and main responsibilities

Key Responsibilities

·       To be the first point of telephone contact for service users, carers, GPs, identifying urgent calls and prioritising responses.  Dealing with enquiries which may at times be of a distressing nature/verbally aggressive and require sensitive handling.

·       To organise own workload using independent judgement to prioritise required tasks and duties.

·       To provide confidential secretarial and organisational support to all staff

·       To maintain outlook calendars.

·       To use a range of office machinery including the use of computerised data systems and word processing facilities.

·       To open, sort and distribute mail ensuring that urgent mail receives appropriate attention.

·       To carry out general office duties including photocopying and dealing with / ordering stationery levels and team supplies.

·       To support the team/ manager in organising the administrative function of the team.

·       To process referrals to the team and update patient files as and when required.

·       To take minutes of meetings, transcribe minutes and distribute to team members

·       To undertake such other duties as may be required.
