Job overview

In this role you will utilise your expertise in providing a standard administration function to ensure the smooth running of the Service The duties are variable, including minute taking; responding to telephone queries from a range of partner agencies and supporting the management of the team’s referral systems.

This role is based within HMP Bullingdon, a Category B Local Remand prison which holds men from the age of 21 on remand and some sentenced prisoners. The Team offers a Substance Use Service and comprises Psychosocial Lead, Senior Recovery Worker, Recovery Workers and Trainee Recovery Workers.

Main duties of the job

We are looking for a full-time administrator (working 37.5 hours per week) for the Substance Misuse Team at HMP Bullingdon.

You will manage the single point of contact, assist with the processing of referrals and provide an administrative function for the service in response to need.

Detailed job description and main responsibilities

  • Provide a full administrative service to the team.
  • Preserve and uphold confidentiality.
  • Receiving complex or sensitive information, and pass on information to other staff by prioritisation
  • Maintain filing systems.
  • Word processing - To provide a word processing service to a high standard of accuracy, including the typing of letters, reports and memoranda’s. Work to a range of work procedures and practices, some of which are none routine, which require a base level of theoretical knowledge. Required to sit for long periods of time in front of VDU.
  • Provide callers G.Ps, other professionals, staff relatives, drug users, other agencies with educational information and self-help materials. Take responsibility for monitoring stocks and re-ordering these materials.
  • Carry out the requisitioning procedure for office equipment, clinical equipment and resource materials. Supervise requisitioning of such items.

Qualifications

Essential criteria
  • Education to GCSE level/GCE ‘O’ Level or equivalent – Math/English minimum.
  • Working towards NVQ Level III or equivalent qualification in administration.
  • An IT qualification.
  • Word processing qualification or equivalent demonstrable skills

Experience

Essential criteria
  • Significant experience of providing clerical services.
  • Proven ability to administrate meetings including minute taking
