We currently have an exciting opportunity for an Administrator that is looking for a new challenge to work in an organisation that will help you develop and achieve your goals to become the best you can be.

We are looking for an Administrative Assistant to join our Adult Mental Health Services based in Severn Fields Health Village, Shrewsbury. The Service offers mental health care and treatment across a variety of different age ranges and presentation.  The role is fixed term for 10 months and would require you to work 37.5 hours per week (Monday to Friday 9.00am to 5.00pm). You would predominantly be based in Severn Fields, although you may be required to travel to work in other Trust locations to meet service need. 

In the role you will be working as part of a team along with Administrative Assistants and Medical and Clinical Administrators.  You will be expected to be able to use your own initiative and judgement, although you will be well supported by other Mental Health Admin staff and through the clinical and professional networks accessible through the community teams. The administration offices are busy, and the role is challenging but it is also rewarding. 

Main duties of the job

  • To accurately maintain and keep secure patient health and staff records/systems in line with policy and standard operating procedure, to ensure data quality, confidentiality and compliance with the current Data Protection Law.
  • Maintain strict confidentiality regarding information concerning patients, staff and sensitive Trust Business at all times.
  • To carry out reception duties including meeting and greeting service users, carers, relatives and visitors, as requested by the Admin Support Supervisor and/or the Admin Team Leader.
  • Handle incoming and outgoing telephone calls in a polite and efficient manner.  Receive and deal with telephone enquiries referring telephone queries to a more senior colleague where appropriate.  Taking accurate messages and passing them to the appropriate person in a timely manner.
  • Type a range of documents including emailed requests, copy typing and audio transcription (via T-Pro digital dictation system) generated by the mental health pathway teams. 
  • Prioritise own workload and meet deadlines in order to meet the requirements of the post.
  • Regular data entry and booking of appointments for service users on the clinical patient administration system, RiO. 
  • Take / transcribe minutes as required and at the request of the Admin Support Supervisor and/or Admin Team Leader.
  • To work predominantly from a base, although travel to work in other Trust locations within the locality will be required to meet service need.

Qualifications & Training

Essential criteria
  • NVQ Level 2 in Business & Admin (or equivalent level of administrative experience)
  • OCR/RSA II or equivalent experience
Desirable criteria
  • Minimum of 1 years' admin experience

Experience

Essential criteria
  • Relevant experience of working in an office environment / reception area
  • Relevant experience of undertaking office procedures with minimal supervision
  • Dealing with the public / customer service experience
  • Experience of working in a team
  • Experience on phones, writing letters and problem solving
Desirable criteria
  • Previous experience of working within the NHS
  • Experience of using RiO or a patient clinical system

Skills, Knowledge & Abilities

Essential criteria
  • Excellent typing skills
  • Proficient use of Microsoft Office packages
  • Ability to produce documents and reports to a high standard from handwritten and audio transcription
  • Excellent telephone skills
  • Ability to prioritise workload in order to meet conflicting demands and deadlines
